About the Position: The position is located in the Portland District Engineering and Construction Division with approximately 240 staff spread across four Branches: Design, Construction, Hydraulics and Hydrology Branch and Technical Resources Branch. The incumbent serves as an Administrative Support Assistant within a Branch of the Division providing support on a variety of administrative tasks for the branch staff.
Duties
Providing clerical and administrative support to office staff, the Administrative Officer, and other personnel within the division.
Screening incoming visitors and telephone calls, providing answers to inquiries and referring questions/issues to appropriate persons.
Submitting and preparing payroll and travel arrangements, including processing travel orders and vouchers.
Performing record keeping and data entry.
Prepare and edit correspondence, forms, plans, reports and other documents from rough drafts or oral instruction ensuring correct grammar, formatting, abbreviations, spelling and punctuation.
Maintaining property accountability reports, spreadsheets, and inventories.
Tracking various administrative related deadlines and tasks for an office utilizing automated computer systems.
Serves as a clerical point of contact on matters that include but are not limited to time, travel, appointments, pay issues, on/off boarding employees, etc.
Serve as the office timekeeper which includes inputting time and attendance, identifying payroll discrepancies, and reconciling timekeeping reports.
Coordinating the purchase of office supplies and assisting with basic office procurement duties.
Serve as the training coordinator on training matters involving requests for training, funding, course space availability, and training requirements.

In order to qualify, you must meet the education and/or experience requirements described below. GS-04 General Experience: One year of general experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as 1.) providing day to day clerical support utilizing Office software such as Microsoft Office Word, Excel, PowerPoint and Outlook; 2.) filing electronic and paper documents according to an establish filing system; 3.) taking and delivering messages received by phone or in person; and/or 4.) maintaining a calendar and ensuring there are no scheduling conflicts.

Education: Two years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of by 60. Add the two percentages.
There is no time in grade requirement for placement at the GS-04.
GS-05 Specialized Experience: One year of specialized experience which includes 1.) Providing day to day clerical support utilizing Office software such as Microsoft Office Word, Excel, PowerPoint and Outlook; 2.) maintaining and updating spreadsheets utilized for various tracking purposes; 3.) Scheduling appointments, conference calls, and/or meetings on an electronic calendar and/or 4.) monitoring office supply levels to identify items that are low in stock and require replenishment. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).
OR
Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
There is no time in grade requirement for placement at the GS-05.
GS-06 Specialized Experience: One year of specialized experience which includes1.) entering payroll data into an automated system, 2.) processing travel requests and/or reimbursement or similar type payment vouchers and billing invoices 3.) inputting, tracking or gathering data/information from various automated and non-automated systems. 4.) maintaining and tracking office property inventory, and/or 5.) reviewing business correspondence for proper formatting, spelling, and grammar. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For the GS-06, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
