This position is located in the Office of the Director at the Danville VA Hospital. The primary purpose of this position is to work as the Executive Secretary and perform administrative work while serving as a facility liaison for the Office of the Director.
Duties
Duties include:
Receives, screens, schedules, refers and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
Responds to administrative problems brought to the Director's attention by members of the staff or management officials outside the organization or elected officials outside the agency.
Composes letters and reports, reviews correspondence for accuracy and completeness and edits as necessary, prepares publication presentation outlines, and develops standard or form letters and replies to inquiries.
Maintains the Director's calendar, prioritizes appointments, conferences, speaking engagements, etc. Incumbent exercises exclusive control over the supervisor's appointments, with complete authority for commitment of time.
Serves as unit timekeeper.
Coordinates performance rating activities for staff members under the Director.
Receives and processes all congressional inquiries.
Arranges all travel arrangements for the Director.
Works with Quad secretaries to develop training, instructions and guidance to all administrative professional staff at VAIHCS.
Establishes and maintains all necessary files and disposes of record material in accordance with VA regulations.
Work Schedule: Monday - Friday, 8:00am - 4:30pm
Telework: Available, At Supervisor discretion and as determined by the agency policy.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/08/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-8. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-08 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: A basic foundation of administrative concepts, principles and practices sufficient to perform independently to recommend changes, devise procedures and office practices affecting subordinate organizations, and foresee administrative problems and requirements. Skills in advising and instructing secretaries in subordinate organizations concerning such matters as directives, reports, correspondence, and telephone procedures; and skill in taking and transcribing dictation. Must possess skill in operating a computer; i.e., Microsoft Word, Excel, PowerPoint, Outlook; and knowledge and skill in the use of printers, fax machines, copy machines, etc. Excellent knowledge of grammar, spelling, punctuation, and required formats; and skill in selecting and applying standard references such as dictionaries and procedure manuals.
TYPING PROFICIENCY: This position requires the ability to type 40 WPM.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. There may be some walking, standing, bending, and carrying of light items like papers or books. There is a certain amount of stress related to the position because of the myriad of duties and the volume of correspondence and other material processed. No special physical demands are required to perform the work.
