The incumbent serves as secretary and reports directly to the Associate Director at the G.V. (Sonny) Montgomery Veterans Affairs Medical Center in Jackson, Mississippi. The G. V. (Sonny) Montgomery VA Medical Center serves a population of over 137,000 Veterans spanning 45 central Mississippi counties and four Louisiana parishes.

Duties

Duties and responsibilities include, but are not limited to: Schedules appointments, coordinates meetings, and/or schedules conferences. Exercises control over appointments with complete authority for commitment of time. Reviews all incoming mail and/or Exchange messages and assigns initial routing. Acts as liaison to the Associate Director which includes maintaining confidentiality and disseminating accurate information. Resolves technical, procedural issues and problems through demonstration of initiative by independently exploring the problem to the point of resolution. Provides authoritative advice to other secretarial and clerical employees on proper office procedures. Makes appropriate referrals in person and by telephone, referring matters of sufficient importance to the Associate Director or other appropriate individuals. Coordinates travel arrangements for one or more members of the leadership team. Informs participants of scheduled meetings and the purpose and provides available background material relating to subjects to be discussed. Types reports, correspondences, memorandums, etc., (correct format, spelling, and grammar, punctuation, neat and professional in appearance, free of typographical errors). Maintains leave and attendance and serves as the timekeeper for the Director's Office staff. Prepares agenda, meeting minutes, and background material for committee members and other participants Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, subject to change based on the needs of the facility. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/13/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in answering phone calls and taking messages, meeting deadlines, or providing administrative support; coordinating with other services or departments; experience utilizing office equipment and software; and tracking and following up with tasks and documentation. (NOTE: All experience must be documented to receive credit; assumptions can not be made about previous experience.) Proficiency Requirement: In addition to meeting experience requirements, applicants for this position must self-certify that you have ability to type a minimum of 40 words per minute. You will be rated on the following Competencies for this position: Administration and ManagementComputer SkillsCustomer Service (Clerical/Technical)Technical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of the light items such as papers, files, books, medical records, etc. No special demands are required to perform the work.
