Responsible for personnel management of Supply Chain; tracking, preparing, and finalizing the many requests (surveys/data calls) which are initiated by both internal and external stakeholders/program managers. Prepares correspondence, logs, actions items, reports in final form, ensuring correct punctuation, capitalization, spelling, grammar, and suspense dates are met.
Duties
Duties and responsibilities include:
Management of Supply Chain; tracking, preparing, and finalizing the many requests (surveys/data calls) which are initiated by both internal and external stakeholders/program managers.
Prepares correspondence, logs, actions items, reports in final form, ensuring correct punctuation, capitalization, spelling, grammar, and suspense dates are met. Determines correct format is acceptable in accordance with VA published standards. Makes necessary distribution of original and final copies to ensure compliance with existing policy.
Ensures daily compliance of the National Directives; VHA Handbooks; Scorecards and Analytics and other Supply Chain Administrative programs, briefings and reports.
Maintains flow of oral and written communications; following up on time with commitments, data, and special projects coming to Supply Chain from varies diverse groups. Gathers the data for the final approval from the Chief.
Receives calls for the Supply Chain, answers routine requests and refers phone calls and includes answering requests for information or responding to requests for materials in the absence of the supervisor.
Assist with travel requirements for the Supply Chain service which may include training, site visits, seminars, and staff meetings. Incumbents authority will be exercised with recognition of staffs priorities, program plans and available time, and fiscal implementation of travel requirements.
Receives significant amounts of incoming information, directives, medical center memos, handbooks, action items, mail, invoices, and purchase orders to analyze, distribute, and audit to compare and confirm the direction, by assigning, and comparing data.
Prepares necessary documents for the Chief including memos for routing. Maintains files, records and correspondence for the Supply Chain. Conducts periodic surveys of equipment and property utilization and recommends action as necessary to assure that economical and efficient use is made of equipment and other property, and other specialized equipment necessary to the effective functioning of the office.
Develops, implements, and maintains effective office systems, travel documents, files, records, and correspondence.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, Subject to change based on the needs of the facility

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: proficient with all Microsoft suite programs; ability to gather data and apply statistical analysis to create graphs, reports, and spreadsheets; multi-task; proficient with creating and editing adobe acrobat documents; makes arrangements for meetings and conferences; establishes and maintains files; maintains office supplies; prepares memorandums and excel documents; screens calls; schedules appointments via e-mail and phone calls. Experience with timekeeping. NOTE: All experience must be documented . OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. (TRANSCRIPT REQUIRED). Note: Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school education and specialized experience to meet total qualification requirements at the GS-5 level. (TRANSCRIPT REQUIRED)
Proficiency Requirement: In addition to meeting experience requirements, applicants for this position must show possession of the following skill. Applicant may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificate. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
