This position is located in Office Of Equal Opportunity and Inclusion. As a Mission Support Specialist, you will support OEOI executive leadership in managing the front office administrative responsibilities and various projects.

Duties

The responsibilities described are for the full performance level. At developmental grade levels, assignments will be of more limited scope performed with less independence, and limited complexity. Serves as confidential assistant. Safeguards information about matters, activities, and initiatives of a confidential and sensitive nature. Supports executive leadership with administrative responsibilities, such as managing their calendar, arranging travel, prioritizing items that require immediate responses, and coordinating meetings. Completes special assignments requiring extensive preparation of briefing materials, talking points, spreadsheets, presentations, reports, and executive summaries for internal and external audiences. Tracks incoming correspondence, routes to staff members, and follows up to confirm proper actions are taken. Reviews outgoing correspondence for accuracy, completion, and adherence to office policies. Drafts and edits written executive correspondence. Verifies accuracy of included facts and presents information in a way that is clear and meaningful to the intended audience. Schedules and coordinates the logistics for a variety of briefings, meetings, and events. Prepares and distributes materials, takes meeting minutes, and tracks actionable items through to completion. Manages and maintains spreadsheets and databases of information needed to meet office needs. Determines data to be included, sources of data, enters and analyzes data, and produces reports as needed. Collaborates with others to develop and implement new and innovative administrative support initiative and tools that will facilitate and enhance efficiency and effectiveness of administrative operations. Performs a variety of general administrative duties to support the office, including assignments related to inventory, timekeeping, staffing, purchasing, records management, and travel.

The qualifications for this position must be met by 11:59 PM (Eastern Time) on 05/14/2024. Current Federal employees must have served 52 weeks at the lower grade or equivalent grade band in the Federal service. The Time-in-Grade requirement must be met by 11:59 PM (Eastern Time) on 05/14/2024. GS-11: You qualify at the GS-11 level if you possess one (1) year of specialized experience, which is equivalent to at least the GS-09 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties: Drafting correspondence, reports, executive summaries, or technical documents for management. Maintaining a schedule for management, to include travel, meetings, and appointments. Coordinating the logistics of delivering large meetings or events. Creating visually appealing reports and presentation materials by incorporating a variety of media (texts, tables, graphs, images, etc.). Managing projects that impact a team or broader scope. OR You may substitute successful completion of a Ph.D. or equivalent doctoral degree or at least three (3) full years of progressively higher level graduate education leading to such a degree in any field, or L.L.M. if related for experience at the GS-11grade level. Such education must have been obtained in an accredited college or university and demonstrate the knowledge, skills, and abilities necessary to do the work of this position. Check with your school to determine how many credit hours comprise three years of graduate study. If that information is not available, use 54 semester or 81 quarter hours. GS-12: You qualify at the GS-12 level if you possess one (1) year of specialized experience, which is equivalent to at least the GS-11 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties: Providing direct administrative support to upper level management. Preparing written products and oral presentation talking points or materials on behalf of management. Analyzing policies and procedures to ensure correspondence and responses to assigned tasks are accurate, timely, and adhere to regulations. Leading projects that have a variety of stakeholders and office-wide or broader scope.
