The incumbent provides administrative support for the Behavioral Health Interdisciplinary Program (BHIP) within the Behavioral Health Service Line (BHSL). The incumbent works directly for the BHIP Program Manager, who reports to the Outpatient Behavioral Health Chief Psychologist. The incumbent provides business, administrative expertise across all BHIP services.

Duties

Major duties include but is not limited to: Performs time keeping for all BHIP Time and Leave (T&L) groups Updates and maintains employee timecards daily Collects, compiles and/or tracks statistical information Accesses status or outcomes in relation to established performance measures, goals, and objectives Receives and processes documents and reports in accordance with established procedures Draws information from a wide variety of sources in order to prepare reports Establishes protocols for incoming data, organizes and maintains patient data and retrieves a variety of computerized data Tracks and analyzes trends for issues related to program effectiveness and role implementation Utilizes statistical data to compile a monthly workload report for all program staff Runs daily clinical encounter reports and distribute to apparent staff Assists with keeping the program manager apprised of patient census and any changes/problems that might be encountered Participates in performance improvement activities related to the program quality improvement process Completes clinic build forms, verify clinic data and stop codes for accuracy for new clinics and modifications Sorts and distributes incoming mail Answers general questions and direct Veterans and staff to proper personnel Produce agenda and take the minutes for BHIP staff meetings Reviews proposed directives to ensure proper arrangement, format, consistency with existing directives, as well as the proper distribution Performs administrative duties include composing and editing letters; reviewing correspondence for accuracy and completeness Submits Your IT and Network Access Requests (NARS) for all BHIP employees and other services, as appropriate Audits and verifies VISTA menus and keys, Shared File and File Exchange (SFFX) folder access manager and trainer for email groups and shared folders, maintains electronic files on shared drives for access by staff Serves as PIV Card Sponsor Performs file maintenance for competency folders, system requests, and general correspondence Construct competency folders with required documents and provide disposition of form to employees, supervisors, and Human Resources Maintains leave, temporary duty changes, connection clinic coverage, RRTP on-call schedule, and training days on BHIP Outlook Calendar Initiates clinical staff call-off process for clinical follow-up with Veteran appointments, coordinating with BHIP MSAs as necessary Maintains schedule of groups/classrooms and conference rooms through Meeting Room Manager calendar Schedules staff appointments with supervisor for annual reviews, competencies and other performance programs, 90 days and/or six-month follow-ups Work Schedule: Monday - Friday, 8:00 am to 4:30 pm Position Description Title/PD#: Administrative Support Assistant/PD90435-A Telework: Telework may be available for a highly qualified applicant. Telework options will be discussed during the interview process Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to perform the work. However, there may be some walking, standing, bending, carrying of light to moderate items such as papers, books, small parts, etc. No special physical demands are required to perform the work.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Serves as a timekeeper for the service; Serves as the talent management system (TMS) training administrator; Coordinates and tracks staff trainings; Track and initiate all onboarding tasks for new employees; Submits and tracks all work orders for the service. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
