You will serve as the Executive Officer in the Earth Science Division at Ames Research Center. You will lead the administrative team and collaborate with others to coordinate events and schedule meetings and visits. You will also respond to internal and external inquiries, implement administrative processes, and maintain the office equipment.
Duties
Assist the Division management and staff in coordinating and providing support for scheduling and prioritizing meetings, visits, appointments, and agendas as well as travel requirements.
Provide support for the planning and coordination of various events, seminars, workshops, retreats, and site coordination. Coordinate audio/visual equipment support.
Coordinate with other members of the administrative assistants team to ensure timely and accurate support for the Division management and staff.
Identify, update, maintain, and catalog records for management systems. Provide retention schedules for records.
Lead the implementation of administrative management policies. Interpret and provide advice to employees and managers on policies and regulations pertaining to administrative matters.
Update and maintain office equipment, keep physical spaces organized, and organize electronic files.
Manage Center access for foreign nationals, as required.

Qualifications
Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.
To qualify for GS-11, you must have:
a) One year of directly related specialized experience equivalent to the GS-09 level
Implementing administrative processes and procedures to support an organization;
Carrying out a wide range of administrative functions and operational support to accomplish organizational goals; and
Reviewing administrative division products to ensure timely submission, proper format, and/or adherence to given criteria.
OR
b) Completed all requirements for a doctoral degree (i.e., Ph.D. or equivalent) in an appropriate field
OR
c) Completed 3 full academic years of progressively higher-level graduate education leading to a Ph.D. degree or equivalent doctoral degree in an appropriate field
OR
d) LL.M., if related
OR
e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above
