The incumbent serves as a Program Support Assistant for the Chief Nurses and reports directly to the Chief Nurse of Specialty Care. The position is organizationally aligned under the Associate Director, Patient Care Services (ADPCS) in Nursing Service, with regular and frequent contact with the ADPCS, and other members of Senior Leadership. The Chief Nurse(s) are a triad of Service Chiefs that are responsible for the Acute, Specialty, and Primary Care Nursing Service within Nursing Service.

Duties

Duties include but are not limited to: Provides administrative support to the leadership of specific departments/sections. Works with the administrative team to identify, distribute, and balance workload and tasks among the administrative team to ensure timely accomplishment of assigned team tasks. Works closely with leadership and/or supervisor for the purpose of obtaining resources (e.g., computer hardware and software, use of overtime or compensatory time). Provides the customer with consistent and accurate information and according to established policies and procedures. Maintains the calendar, meeting and conference schedules for the assigned service chiefs and staff, without prior clearance, using initiative to establish priorities. Types and/or composes various kinds of correspondence to include memorandums, routine and non-routine correspondence reports. Prepares, maintains, and submits electronic timecards for designated staff; reminds approving official of deadline to approve timecards. Follows applicable regulations and instructions regarding access to computerized files, release of access codes, etc., as set out in the computer access agreement. Accurate recording of messages and prompt disposition of inquiries is essential, as well as accurate record keeping of incumbent's actions taken regarding inquiries and correspondence. Obtains, sorts, reviews, and distributes incoming mail, publications, regulations, and directives to the appropriate staff. Provides logistical support for programs, meetings, and events, including room reservations, room set-up, agenda preparation, materials printing, and calendar maintenance; supports the coordination of travel arrangements, as needed. Orders supplies, maintains fund control data, recommends increases or decreases in funding for the Fund Control Point to leaders. Work Schedule: Monday through Friday, 7:30 am - 4:00 pm (subject to change based on the needs of the agency) Telework: Ad-hoc basis. VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/01/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Specialized experience includes: Experience planning, organizing and coordinating the business functions of a service; Experience coordinating several tasks simultaneously, setting priorities, and meeting deadlines; Experience and proficiency using a variety of computer software programs, for example word processing, Outlook, Excel spreadsheets and PowerPoint; Knowledge of correspondence procedures; and the Ability to effectively communicate both orally and in writing with individuals at all levels of an organization from diverse backgrounds, including external organizations. This experience must be supported by your resume to be creditable. AND, Proficiency Requirement: This is an office automation position and in addition to the specialized experience listed above, the applicant must be able to type 40 words per minute or more. You will be rated on the following Competencies for this position: Computer SkillsConscientiousnessCustomer Service (Clerical/Technical) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work is primarily sedentary in nature and requires occasional walking, standing, bending, and carrying of light items such as books, papers, medical records, etc. Occasional commuting between the Medical Center divisions and the local affiliated institution is required.
