This Program Support Assistant for Surgical Service at the Veterans Health Care System of the Ozarks (VHSO) VA Medical Center in Fayetteville, Arkansas, under the general direction of the Chief of Surgery, provides a variety of administrative and clerical functions in support of the Chief of Surgery, Chief of Optometry, Chief of Anesthesia and AO to accomplish established service goals.
Duties
Provides for the overall administrative and clerical support for Surgical Service.
Assists with Focused Provider Performance Evaluations and Ongoing Provider Performance
Evaluations. Collaborates with the Credential and Privileging staff, VISN personnel and staff at other VA facilities to ensure accurate and timely completion of necessary documentation.
Serves as Project Manager and liaison for mission critical projects initiated or under the
responsibly of the Chief of Surgery and AO and is contributor for all administrative aspects of project management (technical, fiscal, human resources, etc.) related to assigned projects.
Serves as the Training Coordinator, skilled in operating the Talent Management System
(TMS) software.
Responsible for the operational and financial management of the accredited/non-accredited student/resident/fellowship training program.
Uses of database management systems and software to control the organization, storage, retrieval, security, and integrity of data.
Advises and assists the AO in policy review, formulation and communication.
Serves as Timekeeper and validator. Maintains accurate knowledge of leave policy and
assists in the management of employee leave to maintain coverage and effectiveness for the service.
Works collaboratively to provide technical expertise and serve as a POC on matters related to timekeeping, including leave administration, travel, and training.
Prepares forms, memoranda, routing slips, education/TMS reports, and other documents as required for approval of leave and for funding requests for travel and training.
Performs as the Automated Data Processing Application Coordinator (ADPAC) for the service, and is the primary contact for PIV sponsor/manager tasks, submission of AARs, work orders, and other in/out processing administrative support activities and records management.
Assists with in-processing and clearing activities of staff to include but not limited to establishing computer access requests, coordinating schedule to meet with program managers and clinical staff, submission of key requests, entering PIV sponsorship, and supply/equipment orders.
Arranges for space and support arrangements for clinical activities and meetings.
Creates, maintains, and distributes accurate electronic and hard- copy reference materials,
such as telephone lists, clinic team lists, email groups, policies and procedures, room schedules, Outlook calendars, and tracking logs.
Creates documents, spreadsheets, charts, graphs, and PowerPoint presentations to enhance service objectives.
Work Schedule: Monday through Friday, 8:00 am - 4:30 pm (subject to change based on the needs of the agency)
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: records keeping, timekeeping, drafting meeting minutes and agendas, and Excel experience. NOTE: This experience must be supported by your resume to be creditable.

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. must be able to adjust to changing workload demands. Work is typically performed in an adequately lighted and climate-controlled office; however, clients may be hostile at times and exposure to communicable diseases can also be a hazard in this position. The incumbent observes safety standards and practices as defined in current health care systems policy. The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, clinical area, office setting and commercial vehicles.
