This position is located in the Office of the Chief Immigration Judge, Executive Office for Immigration Review, U. S. Department of Justice. The Staff Assistant supports the Regional Deputy Chief Immigration Judge in the planning, management, and directional support of the office. This is a Competitive Service position; additional positions may be filled from this announcement within 90 days of certificate issuance.

Duties

Duties include but are not limited to the following: Providing a broad range of administrative and technical support in the planning, project management and coordination of office functions. Conducting intensive analysis of issues arising in any aspect of assigned unit operations, programs, and/or policies overseen by the Regional Deputy Chief Immigration Judge. Exercising day-to-day responsibility/authority for the planning, management, coordination, and efficient staffing of initiatives, operations and interactions, and long range agenda items. Making recommendations, and providing advice/assistance to staff. Evaluating operating procedures, administrative controls, and report systems to develop and improve work processes. Serving as a liaison in developing, planning, and coordinating programs, requirements, and sensitivities, which are unique to OCIJ. Issuing information, analysis tasks and assignments to various OCIJ components and staff as directed by the Regional Deputy Chief Immigration Judge. Assisting, as the final executive reviewer, with administrative approval authority for major correspondence, reports and other documents submitted for signature. Analyzing and reviewing for clarity, completeness of response or reply, and compliance with administrative, management and program procedures, policy, and philosophy.

Qualifications

In order to qualify for the Staff Assistant position, you must meet the following time in grade requirements and minimum qualifications: TIME-IN-GRADE REQUIREMENTS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-12 level is required to meet the time-in-grade requirements for the level GS-13. (Please submit your SF-50 that shows Time-in-Grade eligibility and reflects your title, series, and grade. If your eligibility for both merit promotion and/or time-in-grade cannot be determined, your application will be rated ineligible. Please see Required Documents for additional information). AND FOR THE GS-13 LEVEL: Specialized Experience: Applicants must have at least one or more full-time years (12-months) of specialized work experience, equivalent to at least the GS-12 grade level in the Federal service, performing the following duties: Monitoring staff projects and/or work to report to management on timeliness and efficiency; Utilizing tracking systems (i.e. spreadsheets, filing systems, and/or calendaring software) for project planning, timelines, and statuses; Presenting guidance to staff via oral communication and electronic correspondence on organizational goals, objectives, initiatives, and/or practices; and Preparing meeting notes and minutes from leadership meetings, and conferences.
