The purpose of this position is to perform secretarial functions that include (1) Ambulatory Care Administrative Office support services and (2) Primary Care and Medicine clinical support services for the Primary Care and Medical Department of the Coatesville VA Medical Center. The incumbent operates independently of other office positions, promoting and improving the efficiency of the Ambulatory Care/Primary Care.

Duties

The responsibilities of this job include but are not limited to the following. Perform a wide variety of administrative duties in support of the overall administration function of the Ambulatory Care Business Office including records management, timekeeping, training coordination, personnel actions, and maintaining of inventory of office supplies. Provide secretarial support and administrative assistance to the ACOS Primary Care/Medicine, Chief of Podiatry, Supervisor Off-Tour Hospitalist, Supervisor PA/NP Staff, and Ambulatory Care Business Manager. Working knowledge of operations, directives, and regulations governing technical and administrative activities. Comply with office procedures and address management problems. Use and develop detailed procedures, independently select proper software to create final presentations/projects and print a variety of documents and educational materials for Ambulatory Care/Primary Care reports. Provide instructions for other Ambulatory Care/Primary Care administrative employees on the methods and procedures for the type of work involved. Establish a customized macro system (a system for efficient office automation). Submit work order for Ambulatory Care/Primary Care service lines, including two CBOC locations and tracks to completion. Communicate with appropriate staff, utilizing the e-mail applications of VISTA and Outlook systems. Access appropriate databases in the VISTA system and/or personal computer to support daily operational activities. Exercise initiative and judgement in deviating from existing instructions or practices to resolve problems or to develop more efficient processing procedures. Receive all visitor and telephone calls to Ambulatory Care Business Office, ascertains the nature of the call or business of the visitors and determines the appropriate action. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/13/2024. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Extensive knowledge and understanding of operations, directives, program goals and regulations governing technical and administrative activities of Ambulatory Care and Primary Care service lines and the ability to apply this knowledge to routine projects where precedence has been established; the ability to exercise personal diplomacy and flexibility considering shifting priorities when carrying out duties; an expert knowledge of a range of clerical practices and procedures, grammar, spelling, formatting, formal structures format in the preparation of correspondence, and be skilled in typing and transcription, formal meeting procedures, filing, verbal and written communications, interpersonal relations, phone procedures, and reception techniques; and able to handle a wide variety or situations and many complex office problems that cannot be brought to the attention of the supervisor; handle conflicts requiring use of initiative to determine the approach to be taken or methods to use; knowledge of the VISTA computer system in a variety of applications There is no educational substitution for the GS-06 level. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, but requires walking, standing, bending, and carrying of light packages and walking to other areas of the medical center to coordinate activities. Some lifting, bending, and carrying of light items is necessary.
