The Program Support Assistant (PSA) serves within the Office of the Chief, Anesthesiology Service Line in a capacity to facilitate administrative services for the access, provision, and delivery of direct patient care by the sections comprising of Anesthesiology Service Line to include Pain Clinic and Empower Veterans program. The PSA is responsible for diverse complex administrative and programmatic duties in support of all areas and serves as liaison to departments and affiliations.

Duties

Major duties for this position may include, but are not limited to: Data collection, tacking support and management control Program analysis and oversight Administrative Support Maintain files and reports for data collection. Maintain office compliance regarding regulations, policies, and guidelines as established. Review and direct incoming documentation and taking personal action when applicable or direct to appropriate staff as needed. Review all written correspondence for errors before going to the front office for submission. Ensure work is completed with minimal errors. Execute and prepare responses to routine correspondence and reports. Accepts phone calls, quality improvement, frequent provider productivity tracking, and statistics, workload, capture, human resources, customer service, clinical administration. Communicates with staff time card errors in a timely manner. Compiles various reports and corrects as needed before transmitting. Interacts with Anesthesiology Service line team members to correct data as needed. Ability to prioritize workload, while making quality a priority. Ability to interact with staff maintaining a positive attitude. Consistently communicates and treats customers (Veterans, their representatives, visitors, and all VA staff) in a courteous, tactful, and respectful manner. Handles conflict and problems in dealing with the customer constructively and appropriately. Ability and knowledge of working with Microsoft Teams and calendar invites. Knowledge of a variety of software solutions and communication tools- such as Microsoft Outlook and Microsoft Office Suite. Ability to learn and demonstrate proficiency with VISTA- Veterans Health Information Systems and CPRS- Computerized Patient Record System.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/07/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience:. You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: collecting, compiling, and or tracking data and statistical information; typing, preparing correspondence, reports, obtaining required information from various resources; utilizing automated systems to create and modify profiles and/or settings; answering inquiries from customers managing/screening incoming and outgoing correspondence; developing, maintaining, monitoring spreadsheets, databases; performing data entry; performing other related clerical duties, etc. You will be rated on the following Competencies for this position: Clerical Writing Communication Attention to Detail Customer Service Computer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Sitting, walking, standing, bending, and carrying light items are involved in this position. Work is largely sedentary but does include frequent in person visits to other areas of the Medical Center employees are located in different areas of the building and community-based outpatient clinics (CBOC). Additionally, relationships and circumstances with patients and medical and administrative staff can be intense and place employee in a position of stress. May require occasional travel.
