The primary purpose of the position is to provide a wide array of administrative, analytical, and project support to Ambulatory Care. Coordinates and assists with workflow within the Oklahoma City VA Health Care System. The incumbent performs a variety of duties in a constantly evolving, complex and diverse health care system which provides service across a vast geographic catchment area.
Duties
Major duties of this position include, but are not limited to:
Responsible for assisting, supporting, coordinating, and integrating all operations and administrative functions of Ambulatory Care Service.
Collects, compiles, researches, and tracks data and statistical information in support of program operations, including outcomes in relation to established performance measures, goals, and objectives.
Serves as liaison with Call Center and MAS scheduling clerks to provide guidance on scheduling needs within clinics regarding current staffing by clinical staff or emergent cases through complex analysis of staffing levels.
Assist supervisor, Medical Directors, Deputy Chief, and Service Chief in gathering information and reflects the policies, philosophies, and judgment set by Ambulatory Care Service.
Reviews and monitors provider consults and encounters and coordinates scheduling actions such as updating scheduling grids, adjusting and setting appointments.
Assists customers by telephone and in person
Processes incoming and outgoing correspondence, action items, mail, memorandum and other forms of written communication.
Attends meetings, writes minutes, and follows up on action items with appropriate staff members independently.
Primary timekeeper for the department.
Work Schedule: Monday through Friday, 7:30 am to 4:00 pm or 8:00 am to 4:30 pm.

Time-In-Grade Requirement:
Time-in-Grade Requirement GS-06 Grade Level- Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For this vacancy, applicants must have held grade GS-05 or higher for at least one year to be eligible for the GS-06 grade level of this position. The grade must have been held in the Federal service but may have been in any occupation. Provide a copy of your last or most recent SF-50, "Notification of Personnel Action" to indicate your current federal status. You must also submit additional SF-50(s) to clearly demonstrate one year time-in-grade as required in the announcement. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate that you possess one year time-in-grade. Specialize Experience and Education for GS-06:
I have at least one (1) full year of specialized experience equivalent to the GS-06 grade level in the Federal Service that has equipped me with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work required as a Program Support Assistant. Specialized Experience includes but is not limited to: Routinely displays courteous and respectful behavior to all customers; Projects a positive and professional image of the Medical Center; Provides advice that is timely, responsive and accurate; Maintains appropriate rapport with internal and external customers to facilitate the accomplishment of the medical center goals and mission; Keeps supervisor and/or team leader informed of difficult and/or controversial issues and unique problems.
Specialize Experience and Education for GS-07:
I have at least one (1) full year of specialized experience equivalent to the GS-07 level in the Federal Service that has equipped me with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work required as a Program Support Assistant. Specialized Experience includes but is not limited to: Responsible for assisting, supporting, coordinating, and integrating all operations and administrative functions of Ambulatory Care Service; Assists supervisor, Business Manager, Medical Directors, Deputy Chief, and Service Chief in gathering information and reflects the policies, philosophies, and judgment set by the Ambulatory Care Service; Responsible for operational support and efficiency of Ambulatory Care Services for both patients and staff within the service as directed by the Business Manager, Medical Directors, Deputy Chief, and Service Chief; Provides briefing to the Business Manager, Medical Directors, Deputy Chief, and Service Chief on all operational aspects of the section and keeps them continually informed.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
