The position is located in the Physical Medicine and Rehabilitation Service at the Huntington VA Medical Center. As PM&R Program Support Assistant, the incumbent is responsible for a broad range of administrative and clerical duties associated with direct patient care clinics/sections in the Physical Medicine and Rehabilitation Service.

Duties

Major duties include but are not limited to: With minimal guidance, performs a variety of administrative and clerical tasks associated with maintaining and supporting the work performed within the PM&R Service. This includes a variety of clerical tasks including the completion of memos, reports, meeting minutes, database entry, filing, and transcription. Serves as primary Timekeeper, control point official, personnel clerk, safety representative, and ADPAC coordinator. Requests and tracks work orders through support services such as IRM, BME, SPD, and Purchasing. Manages stock of administrative supplies and reorders as needed. Establishes and maintains administrative files. Tracks suspense files in collaboration with COS office for PM&R Service. Makes appointments/meetings for PM&R Chief and Supervisory Therapist and assists with calendar management. Provides guidance and collaborates with the medical support assistant and ensures efficiency and quality in customer service in the PM&R front office. Coordinates with Business Office staff and IRM to ensure changes and updates are made to clinic profiles and correct data is reflected in reports to governing bodies. Prepares various weekly, monthly, quarterly, and annual reports (resource status, productivity, fiscal, etc.) for the PM&R Service and Medical Center, with minimal guidance. Responsible for monitoring all clinic activity entered into DHCP/CPRS to assure appropriate credit is entered for workload. Continuously monitors clinic backlogs in PM&R. Assists in the coordination of the student training programs. Coordinates the education and training needs of the Service staff including preparation and coordination of all CME/CEU requests. Maintains training records for all sections in PM&R. Works with credentialing to ascertain required scope of practice and required documentation is current for all clinicians. Monitors the performance improvement plans in PM&R. Assists the Chief and Supervisory Therapist in gathering information and preparing reports or requests associated with budget analysis space planning, purchase and replacement of equipment/supplies, staffing, and continuing education and accreditation requirements. Assists the Chief and other clinical staff with clinic setup as needed. Work Schedule: Monday through Friday 8:00am-4:30pm OR Monday through Friday 7:00am-3:30pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/12/2024. You may qualify based on your experience as described below: Experience: One full year of general experience equivalent to the GS-5 grade level that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the positions. Qualifying examples of specialized experience include, but are not limited to the following: Establishes and maintains administrative files. Serves as primary Timekeeper, control point official, personnel clerk, safety representative, and ADPAC coordinator. Prepares various weekly, monthly, quarterly, and annual reports (resource status, productivity, fiscal, etc.) with minimal guidance. With minimal guidance, performs a variety of administrative and clerical tasks associated with maintaining and supporting the work performed within the service. This includes a variety of clerical tasks including the completion of memos, reports, meeting minutes, database entry, filing, and transcription. Coordinates the education and training needs of the Service staff. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You will be rated on the following Competencies for this position: Administration and ManagementCustomer Service (Clerical/Technical)Manages and Organizes InformationWriting Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Work requires regular and recurring physical exertion maintaining a seated position in conference areas for meetings or a computer workstation/desk for conducting administrative work. Entering data via keyboard and writing notes manually is also expected. Walking frequently into the treatment areas to relay messages and assist in patient triage is expected. Movements to aid in the general tidiness of the waiting area are expected. Standing, bending, kneeling, reaching, gripping, and walking are also expected. Mild to moderate lifting is required to store, organize, and replace administrative and clinical supplies.
