Incumbent serves as is the Program Support Assistant to the Service Line Manager of the Mental Health Service Line within the Atlanta VA Medical Center. The incumbent works closely with the clinical leadership and the Administrative Officer to ensure the administrative operational goals of the service line are met in a timely manner. The incumbent works closely with Fiscal /Human Resource Service to ensure the service line financial and human resource management activities are accomplished.
Duties
Duties include but not limited to:
Provides all operational support needed for the program to run efficiently.
Coordinates meetings and or conferences as needed
Takes and prepares minutes and arranges/operates any special communication equipment for meetings
Coordinates program events such as in-service training, CEU, community engagement program and other recognition events to include scheduling space, ordering supplies, corresponding with guests and or requesting funds
Types general correspondence, reports, technical notes into final form from rough drafts, oral instructions and dictation.
Submit work/related work order requests and track the request status for the assigned area
Knowledge of the efficient use of electronic applications i.e. Spreadsheets, databases, PowerPoint, email and or other venues of information technology
Answers phones and re-routes calls to the appropriate staff
Prepares correspondence, reports, messages and official forms using office automation equipment and software
Provides orientation to all new employees in assigned area
Maintains and orders office supplies, forms and other materials to have readily available for staff usage.
Consistently communicates and treats customers(Veterans, their representatives, visitors and all VA staff in a courteous, tactful and respectful manner.
Is open to change and new information; adapts behavior and work methods in response to new information, changing conditions, or unexpected obstacles; effectively deals with pressures and ambiguity.
Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
Is thorough when performing work and conscientious about attending to detail
Develop tracking system for correspondence and or reports
Makes recommendations regarding work flow problems
Responsible for completing routine tasks timely without direct supervision
Able to determine priorities when completing tasks with competing timelines
Serve as key representative i.e. request additional keys, key lock changes from engineering as needed.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience:. You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: collecting, compiling, and or tracking data and statistical information; typing, preparing correspondence, reports, obtaining required information from various resources; utilizing automated systems to create and modify profiles and/or settings; answering inquiries from customers managing/screening incoming and outgoing correspondence; developing, maintaining, monitoring spreadsheets, databases; performing data entry; performing other related clerical duties, etc. .

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do work. However, there may be some walking, standing, bending, carrying, of light items such as papers, books, small parts, or driving an automobile, etc. No special physical demands are required to perform the work. Physical demands require walking, standing, bending, lifting, stooping to retrieve files/ supplies, and sitting at a desk.
