The Travel Assistant serves as the Beneficiary Travel Coordinator for the VA Portland Healthcare System (VAPORHCS) and all Community Based Outpatient Clinics (CBOCs) attached to the facility. Focus is in coordinating wheelchair, stretcher transports and flights for Veterans. The position is located in Portland, Oregon.
Duties

Duties include but may not be limited to:
Manages the activities for the Beneficiary Travel Program.
Arranges all modes of transportation via air ambulance, commercial air, taxi, ambulance, or other special modes of transportation.
Coordinates wheelchair, stretcher transports and flights for Veterans.
Administers beneficiary travel program benefits to beneficiaries and their attendants who meet eligibility criteria.
Determines beneficiary travel administrative eligibility, using sufficient medical justification, to meet the medical requirement of special mode of transportation.
Partners with community resources to identify and use alternate modes of transportation.
Makes special arrangements per physician documentation according to traveler's medical condition and preference.
Enters information into an automated tracking system.
Uses complex patient databases to track eligibility, enrollment status, and demographic information.
Ensures accurate billing for vendor transportation contracts.
Receives invoices for payment of transportation reimbursements.
Utilizes the Computerized Patient Record System (CPRS) to review medical records to investigate travel.
Provides instruction and explains regulatory guidelines and processes to beneficiaries for submitting any unauthorized reimbursement claims to the VA Medical Center for consideration of payment.
Utilizes an office software system such as Microsoft for emails, spreadsheets, and other office equipment to create correspondence and reports.
Communicates clearly and effectively via telephone, text, email, and online meeting venues.
Verifies medical care is authorized by researching in computer systems and/or contacting the provider.
Maintains accurate records, reports for fiscal/accounting transactions.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicant(s) must meet the following:
SPECIALIZED EXPERIENCE: Requires at least one year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the Transportation Assistant - Beneficiary Travel Coordinator position, that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-05) in federal service. Specialized experience includes applying regulations and practices to perform a wide variety of administrative support duties such reviewing claims for payment; utilizing office automation software to enter data, prepare spreadsheets, correspondence and reports; communicating in-person, via telephone phone, or through written communication to answer inquiries and resolve issues.
