Duties

WHAT YOU'LL BE DOING DAY TO DAY As an Correspondence Management Specialist, you will use your knowledge of and experience optimize business results and customer experience by: Identifies emerging policy or procedural problems and other pertinent issues of importance to effectively communicate with internal and external audiences to support mental health and substance abuse services programs. Analyzes policy and program content of incoming documents and assigns appropriate staff responses and deadlines. Provide general policy review and executive oversight for correspondence within the organization. Develops and maintains guidance for internal procedures specific to correspondence and incorporates changes resulting from new requirements established at higher levels or internal changes in procedures.

Qualifications

WHAT WE ARE LOOKING FOR Minimum Qualifications: To qualify for the GS-09: You must have one year specialized experience equivalent to the GS-07 grade level or pay band in the Federal service or equivalent experience in the private or public sector performing at least two of the three following: Reviewing outgoing correspondence prepared for the signature of high level officials. Reviewing incoming correspondence and recommends assignment of action items to appropriate Centers and/or Offices for response. Managing a workflow/document management system to process and track all incoming and outgoing correspondence. Education may be substituted for specialized experience at the GS-09 grade level as follows: Completed a Master's or equivalent graduate degree; OR Completed two full years of progressively higher level graduate education leading to a Master's or equivalent degree; OR Completed an LL.B. or J.D., in a field directly related to the position being filled;https://www.usajobs.gov/Help/working-in-government/unique-hiring-paths/students/federal-occupations-by-college-major OR A combination of experience and graduate education as described above that equates to one year of experience. To qualify for the GS-11: You must have one year specialized experience equivalent to the GS-09 grade level or pay band in the Federal service or equivalent experience in the private or public sector performing at least two of the three following: Providing guidance in the preparation of correspondence and ensures all pertinent policies and procedures are adhered to. Analyzing, interpreting and implementing guidelines on the preparation and processing of controlled correspondence documents; Reviewing and commenting on proposed changes to organization correspondence policies and procedures. Education may be substituted for specialized experience at the GS-11 grade level as follows: Completed a Ph.D. or equivalent doctoral degree.; OR Completed three full years of progressively higher level graduate education leading to a Ph.D. or equivalent degree; OR Completed an LL.M. degree that is related to the position being filled;https://www.usajobs.gov/Help/working-in-government/unique-hiring-paths/students/federal-occupations-by-college-major OR A combination of experience and graduate education as described above that equates to one year of experience. To qualify for the GS-12:You must have one year specialized experience equivalent to the GS-11 grade level or pay band in the Federal service or equivalent experience in the private or public sector performing at all of following: Providing guidance in the preparation of correspondence and ensures all pertinent policies and procedures are adhered to. Researching data and policy/program information using a wide variety of sources to integrate and coordinate comments for leadership. Reviewing and approving final documents prepared by staff for signature and transmission to ensure adherence to statutory mandates and policy, program, and procedural requirements.
