The position is located at the New Mexico VA Health Care System (NMVAHCS) in Healthcare for Homeless Veterans (HCHV) Social Work Service (SWS). The primary purpose of the position is to provide ongoing management support functions to provide a full range of administrative support functions to the HCHV Programs. This position is a significant part of the support infrastructure for Social Work Service.

Duties

Major Duties Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of Healthcare for Homeless Veterans' (HCHV) operation. Assists in the planning, review, and reporting of data or statistical results of program or project studies. Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data, and generates a variety of reports. Serves as the primary Healthcare for Homeless Veterans (HCHV) program Automated Data Process Application Coordinator (ADPAC). Responsible for assuring that all information technology equipment with the service is operational and functions, and coordinates with OI&T equipment replacement/installation with all other services. Reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Maintains automated system of service specific data to track suspense's on items such as project milestones, progress reports, funding accomplishments, compliance strategies, etc. Provides back-up to the SWS PSA responsible for privileging, timekeeping, customer service and ADPAC duties as needed. Performs duties related to providing a full range of administrative support to the Healthcare for Homeless Veterans programs. Prepares correspondence for mailing and/or routing. Maintains a suspense file on all correspondence or recurring Suspense's with required action, and alerts the Healthcare for Homeless Veterans (HCHV) Program supervisors prior due date without the required action. Create, author and compile reports as needed by Healthcare for Homeless Veterans (HCHV) Program Supervisors and Social Work leadership for senior leadership. Manages the calendar, meeting requests, documents required for meetings for the HCHV Program Supervisors. Assigned as a Service Records Liaison responsible for ensuring compliance of the all programs that fall beneath HCHV. Obtains and monitors the use of supplies or equipment for HCHV Programs and Social Work Service. Maintains the Equipment Inventory List. Assures that all incoming mail is received, screened, and distributed to appropriate social work staff or other recipients within NMVAHCS. Screens mail for Supervisors, HCHV, attaching appropriate documents or files required by the HCHV Program supervisors for response. Determines which items of mail require review or action by the HCHV Program supervisors. Maintains knowledge and proficiency in all computer applications required for completion of work, including VISTA (Mailman, Electronic Consult System, et al) and Microsoft products. Responds courteously in person and through telephone and email contacts with clients, staff, and community visitors. Responsible for establishing contacts and maintaining good relations with external stakeholders. Organizes the HCHV, Social Work filing system according to Medical Center policy and protocols. Correlates, compiles, and maintains files for staff use. Assures that all Social Work correspondence is accurately filed within one week of receipt. Performs work related to the acquisition and/or development of program information and resource materials/personnel. Maintains knowledge of Medical Center Policies and Standard Operating Procedures, Safety Plan, Material Safety Data Sheets (MSDS) manuals. Knowledgeable and prepares clinic specific Standard Operating Procedures. Safety and Environment of Care, verbalize awareness that completion of annual mandatory training is a requirement of continued employment. Performs other related duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/09/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education As described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to utilizing automated software to enter and maintain data; organizing and maintaining files, records, and preparing reports; answering phone calls and walk-in inquiries to determine the nature and referring to appropriate staff; obtaining and monitoring use of supplies or equipment; providing administrative support to daily operations. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four (4) years above high school. Transcripts must be submitted. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. Transcripts must be submitted. You will be rated on the following Competencies for this position: ClericalComputer SkillsCustomer Service Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee may sit comfortably to do the work. There will be some walking, standing, bending and carrying moderate (not to exceed 20 pounds) items such as records, books, and papers.
