This position is located in the Health Professions Education Office (HPEO) and is organizationally aligned under the Designated Education Officer (DEO), who reports to the Chief of Staff (COS). This position supports the DEO and Education Office in establishing, maintaining, and evaluating the quality of health professions training programs and the quality of care delivered by health professions trainees.
Duties
Duties include, but are not limited to:
Assuring the flow of information and required actions are completed or referred to the appropriate individuals for action.
Responds to time-sensitive requests within established time-frames.
Prepares facility level executive briefing and decision materials, documents for signatures, and reports.
Manages and maintains electronic files and program data in SharePoint and on shared drives.
Prepares and assembles information to develop draft reports, recommendations, or presentations.
Oversees logistics, planning, and preparation for department meetings (including scheduling, materials, travel and lodging arrangements, and special events).
Initiates actions to resolve identified problems leading to improved office productivity.
Prepares and tracks documents and correspondence to coordinate actions and close action items.
Provides administrative orientation and training to new employees within department/office.
Assessing management techniques, processes, and styles for improving organizational effectiveness.
Assists in the formulation and execution of budget estimates.
Provides financial support in both the formulation and execution phases of the allocation of department operating accounts.
Provides general office supply and equipment support services by procuring services and supplies, providing justifications and cost-benefit analysis.
Ascertains the needs of the office staff and coordinates the purchase of supplies, equipment, and services to meet the organization's needs.
Participates in internal program office budget discussions.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, subject to change based on the needs of the facility.

Physical Requirements: The work is primarily sedentary. There is some walking, standing, bending, carrying of light items such as papers, books, or small items.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: experience using Microsoft Office Applications, including Word, Excel, and Outlook; assisting staff with human resource documents and processes required for position management; assisting in preparing and organizing meetings.
GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:experience using Microsoft Office Applications, including Word, Excel, and Outlook; experience working with human resource documents and processes required for position management; preparing and organizing meetings.
There is no educational substitution for the GS-06 or GS-07 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
