The New Mexico VA Health Care System is searching for a Program Support Assistant (OA) to serve within Facilities Management.
Duties
Works with supervisors, service chiefs, union officials, and safety and occupational health committees to document the elimination or control of hazardous operations or conditions. The general nature of the duties is administrative and clerical. The incumbent's responsibility includes:
Collecting
Assists with the coordination of Safety Section and mandatory training programs (may include but not limited to, blood borne pathogens - sharps log, Accident Review Board meeting, Accident Reports, New Employee Orientations training, tracking training, etc.) for employees for the purpose of helping reduce incidents of accidents and meeting state and federal guidelines; gathering and providing to inspectors for review, documentation which includes but is not limited to: Annual Workplace Evaluation, Joint Commission, Office of Inspector General documents.
Coordinating
At the direction of the assigned administrator/manager, coordinates a variety of programs and activities (may include but not limited to, meetings, services, trainings, etc.) for the purpose setting up, documenting activities, providing written reference and/or conveying information in conformance with established guidelines.
Recording
Assuring the validity of data collected, accurate documentation of occurrences and data summaries, and maintenance of program information, maintains and supports the injury and illness prevention program to ensure program consistency, compliance and privacy, prepares written materials for the purpose of documenting activities, providing written reference and/or conveying information, and maintains a variety of files (hard copies and electronic) for Engineering Safety functions including the safety and mandatory training, property, liability and the injury and illness prevention program, Annual Workplace Evaluation, Joint Commission, Office of Inspector General and all other VHA, local, state or federal inspections.
Data Inputting
Develops and maintains Safety Section data files. Inputs and retrieves data from the hospital computer system, VISTA, ASISTS, Microsoft Office, Word, Excel, Outlook and Management Information System. These may include but not limited to the SDS Library, Chemical Waste inventory, Employee Exposure Monitoring Records, OSHA log, and safety related training.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/17/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of modern office practices and computer programs including word processing, data bases, spreadsheets and graphics programs; Knowledge of record-keeping techniques, preparation of correspondence/reports, event/training coordination, and telephone techniques/etiquette; Knowledge of rules, regulations, and other guidelines relating to OSHA, Joint Commission, Office of Inspector General and various other local, state, and federal regulatory agencies; Knowledge of proper memorandum, meeting minutes, reports, formats and grammar, spelling and punctuation; Knowledge of organizational structure, in order to acquire data and prepare various reports; Knowledge to make correct judgments as to responsibility of services by safety section staff vs. those of other sections of Engineering and other services; work independently in the absence of specific instructions; maintain confidentiality.

Physical Requirements: This position involves sedentary work, sitting, walking, and standing. This position requires walking and inspecting all fire extinguishers each month in every building. Occasional lifting is required of 25 pounds.
