You will serve as an EXECUTIVE ASSISTANT in the Navy International Programs Office (NIPO) of NIPO FMS FIELD OFFICE.

Duties

You will receive all visitors and telephone calls for the senior executive leader and provide administrative or technical information as appropriate. You will serve as an office manager, ensuring efficiency in the administration of office policies, practices, and procedures, recommending changes. You will serve as a liaison between the Executive Director (ED) and staff members, providing or requesting feedback on programs, policies, projects, and problems. You will maintain the ED's calendar and schedule appointments and brief the ED on background and matters to be considered prior to scheduling. You will develop agendas, compile background information to be used for meetings, and coordinate travel arrangements including assisting with visa applications, preparing complex and detailed travel plans/orders, vouchers, itineraries, and reports. You will make all arrangements for executive level meetings and conferences, including space, time, participants, agenda, preparing meeting materials, and coordinating multiple projects. You will control, compose, review, process, and prepare correspondence using office automation equipment and appropriate software.

  • You will be required to obtain and maintain a SECRET security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • This is a Non-Key Security Cooperation Workforce (SCW) position and requires a DoD SCW Certification. Selectee must obtain and maintain certification within prescribed timeframes. SCW level required: BASIC.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.

Qualifications

Your resume must demonstrate at least one year of specialized experience at or equivalent to the next lower grade level (GS-11) or or pay band (NH-02) in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Performing a variety of executive level clerical and administrative duties such as managing tasks, office management, reviewing documents, preparing correspondence, organizing, calendar scheduling, public relations, etc.); Maintaining comprehensive knowledge of Senior Executive Service (SES) policies; Communicating effectively and coordinating tasks to relieve SES of administrative detail; and Coordinating travel arrangements and preparing complex and detailed travel plans, itineraries, orders and vouchers.
