This Program Support Assistant position is within the Specialty and Acute Care service at the Bedford VA Healthcare System, located in Bedford, MA. It is full-time at 40 hours per week.

Duties

The Program Support Assistant is assigned to the Specialty and Acute Care Service providing administrative support to the Service Line Manager, Chiefs of Services, Nurse Manager and Administrative Officer. Duties include, but not limited to: Performs a variety of duties in support of data entry, collections, analysis and preparation of reports for the program. Performs work involving the collection of compilation and/or tracking of data statistical information in support of Specialty and Acute Care Services. Organizes data, produces graphs and data trends for SAC PIC and SAC MEB/SAC QMB presentations. Prepares and executes specific data such as due dates for proficiencies ACLS re certification, medical documentation for Ongoing Professional Practice Evaluation (OPPE) and Focus Professional Practice Evaluation (FPPE) etc. which is submitted to credential and VISN for review. Prepares meeting agendas, maintains background data of agenda items. Serves as a recorder and produces/distributes meeting minutes. Maintains the schedule of all committee meeting and reminds committee members of meeting dates and times. Delivers SAC PIC, MEC meeting minutes to the Chief of Staff Office. Assists in data collection needed for special projects such as systems redesign improvements projects involving multiple service lines as necessary. Coordinates with various departments to obtain and consolidate reports for the review by the Service Line Manager. Prepares educational and travel support request for all staff. Monitors staff completion of continuing education requirements. Maintains documentation of Continuing Medical Education (CME) or Continuing Education Units (CEU) credits for the staff training records. Maintains employee training records. Reviews training requests for completeness and performs appropriate follow up as required. Arranges and schedule training activities. Sees that all required licenses and certifications for physicians are up to date and that all certified copies are provided to the office of Chief Medical Officer, Humans Resources Management and maintained in the Specialty and Acute Care Service personnel files. Work Schedule: Monday-Friday; 8:00a-4:30p; 40 hours/week Position Description Title/PD#: Program Support Assistant/PD518-03658-A Physical Requirements: Typically, the incumbent sits comfortably to do the work. However, the incumbent occasionally may perform a variety of work related physical duties, including but not limited to, traveling between various offices (i.e. VA Bedford and CBOC locations in Gloucester or Lynn) carrying light/moderately heavy items (i.e. 5-20 pound items, standing in an upright position for varying lengths of time, and manual use of computer equipment for data processing. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but not limited to: Generating reports, power point presentations, keeping minutes of meetings Managing tasks associated with onboarding trainees to a Service Line Organizing and overseeing timekeeping and schedules of multiple employees Managing complaints and resolving conflicts Able to utilize all Microsoft products, Adobe Acrobat; if no VA experience, able to adapt to learning VA specific software programs that are necessary for job performance Ability to work with multiple services in a collaborative way There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
