The Supervisory Medical Administration Specialist will operate under the Supervisory Program Applications Specialist of the North Charleston Clinic within the Primary Care Service Line located at the Ralph. H Johnson VA Medical Center in Charleston, SC and supervises all current and future administrative staff assigned to the North Charleston Clinic.
Duties
Major duties in include but are not limited to:
Directly supervises subordinate employees ensuring appointments are
scheduled timely and patients are notified of appointments.
Provides necessary staff support required to provide workload assignments and works with
superiors to formulate, direct and develop policies for automated data processing
management.
Collects, analyzes and evaluates data generated and produces meaningful reports based on
that data.
Manages and provides oversight of daily clinical activities in CBOC to include providing
oral and written communication regarding Clinic Cancellation Management and Return to
Clinic Orders and Consult Management.
Works closely with peers in other services and VA medical centers to meet the
needs of external customers.
Facilitates the organizations' patient care mission, ensuring quality patient
care within the framework of established policy, standards of care, standards of practice and
regulatory requirements.
Conducts surveys, gathers data and prepares report of findings on a variety of administrative
operations and program measures, organizational improvement, organizational design and
position management, and coordination among the health care system services.
Work Schedule: Monday-Friday, Tour of duty hours will be determined by Supervisor.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/02/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Participating in special projects and initiatives and performs special assignments. Evaluates reports by analyzing facts and performing appropriate research and prepares detailed responses. Determines appropriate recommendations for unresolved or questionable problems and performs follow-up; Providing oversight on leave management and policies; Gathering & maintaining data used from VISTA, BISL, and CPRS to develop, evaluate & modify organizational structure & systems to achieve program goals; and Identifying and analyzing problems; using sound reasoning to arrive at conclusions; finding alternative solutions to complex problems; distinguishing between relevant and irrelevant information to make logical judgements.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a Master's or equivalent graduate degree -or- 2 full years of progressively higher-level graduate education leading to such a degree -or- LL.B. or J.D., if related.

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and and graduate level education. Only graduate education in excess of the amount required (1 full year) for the next lower grade level may be used to qualify.

Physical Requirements: Bending and carrying light items such as medical records, instructional material, books and manuals may also be required. The work is primarily sedentary with periodic walking, lifting, and staffing may be required.
