This position is located at the Edward Hines Jr. VA Hospital, Hines, IL (578) - a Level 1a Complexity VHA Facility.
Duties
The incumbent receives and screens visitors and telephone calls, i.e. identity, purpose of call and relative importance in relation to availability of staff members.
Maintains calendars and makes appointments in accordance with established practice or special instructions. Reminds the staff of appointments.
Maintains the Quality Service personnel daily calendar, making appointments and arranging conferences and meetings without specific prior approval, based on knowledge of the Quality Service schedule.
The incumbent controls all correspondence. Follows up on incoming emails keeping suspense file to insure timely and appropriate action, reviews all outgoing correspondence for neatness, accuracy, adherence to established format, and the Veterans Health Administration policies and procedures.
Assists with maintaining the Policies and the SharePoint for Policies, and the SharePoint for Quality Service.
The incumbent takes and transcribes administrative material/minutes for Patient Safety Managers, Risk Management, Accreditation and Quality Staff, and Infection Control.
Acts as liaison between the Quality Service and services by providing accurate and timely advice on procedures, report requirements, and similar matters necessary comply with the Quality Service policies.
In the absence of the Quality Service personnel, the incumbent assumes responsibility for ensuring that matters which would normally receive the service's leadership's personal attention are referred to responsible service managers or designated personnel.
Uses word processing software and printing equipment to create, copy, edit, make insertions, retrieve and print a variety of textual documents. The work may also include use of other software packages such as spreadsheets, database management, desk top publishing, graphics, calendars electronic mail to support the work of the office.
The incumbent will coordinate the travel itinerary, schedule travel (airline and hotel reservations), and enter travel requests and documents for trips taken by the Quality Service.
The incumbent serves as the unit timekeeper.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/02/2024
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
GS-07 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: resolving complex customer issues with assistance from team or leadership; preparing reports and utilizing data entry programs or software; and utilizing various a computer systems and software to accomplish daily tasks.
