This position is located in. the Spinal Cord Injury/ Disorder Service at Hines VAR, IL and the primary purpose of this position is to provide administrative support work u ilex the direct supervision of the :Service Administrative Officer.
Duties
This position serves as the Secretary to the Chief, Patient Administration Service at the Hines VA. This position performs clerical and administrative duties relieving the Chief and/or Associate Chief when possible in the operation of the Service.
- Receives incoming calls to the Office of the Chief and furnishes information wherever possible from files and reports.
- Makes appointments for the Chief and has authority to commit their time.
- Keeps the Chiefs daily calendar current and updated.
- Composes replies to routine letters and memorandums in final form.
- Takes notes and pertinent data from the Service supervisory staff meetings.
- Composes and types meetings minutes when necessary.
- Records and transcribes verbatim testimonies given during Board of Survey, Board of Investigation and Board of Discipline meetings.
- Maintains a reference library of publications including indexing and cross-indexing.
- Follows up on commitments made by staff members at meetings, conferences, etc.
- Maintains a suspense file for the Office of the Chief.
- Performs other related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/19/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
GS-6 GRADE REQUIREMENTS:
You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of organization and functions of PAS in order to perform the clerical and administrative duties.
Knowledge of the office automation (OA) systems to use several types of software for various office needs.
Skills of a qualified typist is required to type letters, memoranda and reports.
Must be able to type 40 word per minute.
Skill in proper spelling, grammar, punctuation and format in order to review and correct correspondence.
Ability to compile reports and statistical data.
Knowledge of medical terminology in a written and oral pronunciation capacity.
Communicate appropriately and courteously to internal and external customers.
OFFICE AUTOMATION:
You must have the ability to type a minimum of 40 words per minute and have experience with personal computer office automation software such as: Word, Excel, PowerPoint, Outlook, and/or Spreadsheets.
