The New Mexico VA Healthcare Network is recruiting for a Program Support Assistant (OA) assigned to the Caregiver Support Program (CSP). The incumbent provides support to the interdisciplinary Caregiver Support staff and program. The incumbent assists the CSP manager with critical administrative and clerical duties and coordinate administrative policies to assist staff understanding and following care processes, regulations and service policies.
Duties
Provides support to the interdisciplinary Caregiver Support staff and program.
Works with a military Veteran population within a medical/psychiatric environment.
Assists the CSP Manager with critical administrative and clerical duties and coordinate administrative policies to assist staff with understanding and following care processes, regulations and service policies.
Determines action needed by clinical staff, with action tracking, to ensure timely completion and resolution, and refers significant problems for resolution.
Establishes and continually reviews, updates, and develops complex administrative procedures that affect the orderly and efficient flow of work with parties and services outside the facility.
Provides administrative, program and technical assistance in the areas of day-to-day operations.
Assists Annual Caregiver Support Fair.
Coordinates and collects necessary data for the program, manages and tracks wellness visits, application tracking, which is critical to the Program operations.
Analyzes financial information (e.g., expenditures & cash management) to ensure all operations are with budget, and forecasts future budget needs.
Prepares, consolidates & summarizes budget recommendations for each budget cycle, with appropriate cost analysis, as required at the program level.
Participate in monthly Budget meetings with assigned Budget Analyst.
Assigns and monitors overtime assessments to overtime staff and directly reports overtime dollars to the Budget Analyst every pay period.
Functions as the Fund Control Point Clerk CSP, processing all requests for educational materials, office supplies, medical equipment and promotional materials as needed, maintaining/tracking inventory in accordance with VA policy.
Maintains and tracks program census.
Assists in the preparation of all program reports.
Assists in tracking program reviews, action items, quality measures, and the efficiency of the Caregiver Support Program.
Maintains the Caregiver Support Program database.
Assists in maintain available resources and makes recommendations regarding the needs and distribution of resources.
Coordinate correspondence for the Caregiver Support Program and assists in the daily operation of the program, including keeping meeting minutes and attendance to staff meetings.
Program Support Assistant will assist with equipment needs for new employees and equipment requests within the CSP.
Provides a complete range of the program support which includes data analysis, special Caregiver Support Program projects, Caregiver Support Events, performance measure reporting.
Completes data from the CARMA Tracking System, VA and VISN 22 to meet the goals of the program guidelines.
Performs other related duties as assigned.
Work Schedule: Monday thru Friday, 8:00AM - 4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/25/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience at least the next lower level (GS-05) in the normal l line of progression for the occupation in the organization. Specialized experience includes but not limited to: Preparing correspondence and reports; utilizing a variety of computer software; maintaining records and files; and responding to customer inquires.
This position requires the ability to type at least 40 words per minute.

Physical Requirements: The work requires no special physical demands. The work is sedentary and does not involve any abnormal risks or discomforts. It may involve some walking, standing, bending, or carrying of light items such as papers, files, or small parts etc.
