This position is located within the Mental Health Service at the John J. Pershing VA Medical Center. The position will provide support to the Service staff members, as well as administration in a variety of ways.
Duties
The Mental Health Service provides specialty administrative services in the areas of Outpatient Therapy, Primary Care Mental Health Integration (PCMHI), Post 9/11 M2VA Program, Substance Use Treatment Program (SATP), PTSD, Suicide Prevention, Homeless, and HUD/VASH. The Incumbent of this position provides a wide range of program support assistance to the unit supervisor and unit staff related to maintaining the primary mission of the unit and agency, and provides backup to other Program Support Assistants in the unit.
Duties include but are not limited to:
Prepare routine administrative and clinical reports, to include routing data gathering in preparation for drafting reports.
Receive program applications, contact and set up interviews for approved applicants.
Maintain spreadsheets
Purchase card holder
Prepare agenda, record and transcribe minutes for meetings.
Maintain patient education materials.
Maintain Team calendars.
Assures the quality and accuracy of all typed documents, reports or correspondence sent out from the program assignment.
Maintains the filing system, both administrative and clinical, in accordance with applicable policies and regulations governing set-up, format, disposal, and security and appropriate release of confidential information. Included in this are electronic files and information systems as part of computerization.
Procures office supplies, forms, equipment, and maintenance/repairs necessary for the smooth operation of the program.
Receives, screens and routes incoming mail, including electronic mail; where a routine response is required, that response will be provided by the incumbent along with pertinent back-up material as deemed necessary.
Provides orientation and training on office operations to new service employees, students and volunteers; and keeps staff abreast of new office procedures or technologies.
May also provide support for Administrative Officer, Behavioral Medicine Supervisors, Behavioral Medicine Program Coordinators and other Behavioral Medicine administrative staff as needed.

Physical Requirements: The work is primarily sedentary but may include walking, bending, stooping, standing and carrying light or medium weight items, lifting equipment items or supplies. No specific physical requirements are needed.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
You may qualify based on your experience and/or education as described below:GS-6: Specialized Experience: Experience assisting with preparing and processing a variety of personnel forms such as request for personnel actions, travel orders, training forms, and payroll forms; and Maintaining files on employees, and preparing correspondence for employees requesting advance annual and sick leave; and using a variety of software such as database management, graphics, word processing, spreadsheets, and e-mail.
GS-07: Specialized Experience: Experience reviewing time sheets and posting all labor charges in an automated system, and reconciling discrepancies in leave and overtime payments and coordinating with Finance and Accounting or the Human Resources Offices, and answering questions on leave regulations; and processing training request and coordinating the preparation of annual training plan for the organization; and scheduling and develop the agendas and minutes for meetings; and developing charts, and preparing narratives for routine review and analysis of administrative programs.
Per Office of Personnel Management General Schedule Qualification Policies, federal employees are assumed to have gained experience by performing duties and responsibilities appropriate for their official series and grade level as described in their position description. Experience that would not normally be part of the employee's position is creditable when documented by satisfactory evidence (e.g., a memorandum from the manager, human resources director, or official documentation such as SF-52, SF-50 documenting an official detail/assignments, or other comparable documentation). The documentation must indicate whether the employee performed the duties full time or, if part-time, the percentage of times the employee performed the additional duties.
To receive credit for experience in your resume that is not within the official series and grade level of your position, you must provide official documentation of such experience as indicated above.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
