Employee serves as a Program Support Assistant under Patient Care Services located at the John J. Pershing Veterans Affairs Medical Center in Poplar Bluff, MO.
Duties

Duties will include, but may not be limited to the following:
Reviews manning documents, creates and submits recruitment packages for new positions, enters employee actions into the electronic database, follow-up on actions, prepares communications and review policies.
Manages time and leave and provides support to timekeeping staff. Reviews employee leave usage for trends.
Maintains leadership calendar, scheduling meetings and appointments, including virtual meetings on Microsoft Teams or current software. Develops virtual work sites for managers to share documentation, meet, and maintain open communications. Completes minutes/notes ensuring information is tracked and uploaded to the required sites.
Creates responses to suspense actions, congressional reports, and other miscellaneous reports. Develops comprehensive templates for correspondence that includes necessary information in a clear and concise manner.
Conducts inventory of equipment and creates reports that covers physical search for items listed, new equipment requests, turn-in equipment, missing items.
Compiles and analyzes data from internal and external collection points such as data warehouses and local tracking mechanisms. Provides data for leadership, various committees, and quality management to make determinations on projects or actions.
Serves as primary administrator in Temp Trak refrigeration monitoring system, includes responding to alarms, investigates causes and resolutions, and clear alarms. Compiles and analyzes data to include current nursing hours per patient day, medical refrigerator alarms, current staffing levels, and recruitment statuses.
Analyzes spreadsheets and data to determine trends and develops presentations/reports to present to leadership/supervisors.
Assists with recruitment by coordinating selection panels, making appointments, preparing interview materials, organizing and retaining interview questions and rating grids, and maintaining files.
Possesses working knowledge of office equipment and computer processing systems (Microsoft Office, SharePoint, etc.) and communicating effectively and efficiently through various modalities such as in-person, in-writing, electronic mail, instant messaging.
Performs other duties as necessary.
Work Schedule: Monday-Friday, 8:00am - 4:30pm
Telework (Ad-HOC): VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
SPECIALIZED EXPERIENCE: Requires one full year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience includes: maintaining calendar, scheduling non-patient appointments/meetings, completing meeting minutes; timekeeping/maintaining time and leave records for staff; compiling and analyzing data from various sources, preparing reports and various correspondence; using various office equipment and computer processing systems (Microsoft Office, SharePoint, etc.); and communicating effectively and efficiently through various modalities such as in-person, in-writing, electronic mail, instant messaging.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates.
