The Secretary (OA) provides administrative support to a designated (one or two) Section Chief within Medical Service in any of the following locations: Main Hospital, Building 1 and Home Respiratory Care Program Warehouse, off-site. The Medical Service is comprised of eleven (11) Sections and six (6) subspecialty Sections at the James A. Haley Veterans Hospital in Tampa Florida.
Duties

Major Duties:
Handles requests for information from staff within the section the incumbent is assigned to answering questions not requiring medical or technical knowledge.
Forwards patient calls requiring new or rescheduled appointments, cancellations, and inquiries to appropriate personnel (provider, Health Administration Clerk, supervisor, etc.
Maintains appointments calendars for the Section Chief in which he/she is assigned.
Maintains Microsoft Outlook Leave calendar for each assigned section and subsection for supervisor's review and accessibility.
Serves as timekeeper for designated Time and Leave (T&L) Units for the assigned section.
Posts timecards daily and helps ensure section Chief, or respective supervisors is aware of leave entries, and non-leave entries, for tracking purposes.
Composes, prepares and/or drafts replies to general inquiries not requiring technical or managerial knowledge.
Maintains suspense/control logs on action required items and follows up to ensure completion of requests.
Attend meetings, generate, and distribute minutes accordingly and actively participate in administrative problem solving.
Composes and types a considerable amount of correspondence of a technical and non-technical nature.
Performs all duties as assigned.
Work Schedule: 8:00am - 4:30pm Monday - Friday

Qualifications
SPECIALIZED EXPERIENCE: Possess one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-4 level in the Federal service. Specialized experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; and maintaining files. A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. SUBSTITUTION OF EDUCATION FOR EXPERIENCE: Possess a successfully completed 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. COMBINATION OF EXPERIENCE AND EDUCATION: Possess equivalent combinations of successfully completed post-high school education and experience to meet total qualification requirements at the GS-5 level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. (TRANSCRIPT REQUIRED)
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Physical Requirements: The work is mostly sedentary. The employee usually sits in an air-conditioned environment, behind a desk in a conference room or in another work location within the Medical Service. The incumbent work may require some walking, standing, bending, and carrying light items such as books, supplies and documents.
