The Administrative Assistant (OA) serves as the Administrative Support Assistant to the Associate Chief Nurse (ACNS) for Mental Health & Behavioral Medicine (MH&BM) and to the ACNS for Community Living Centers (CLCs) at the Olin Teague Department of Veterans Affairs Medical Center.
Duties
Major duties include, but are not limited to:
Incumbent provides administrative support to the ACNS for MH&BM and the ACNS for CLCs. Accurately takes and transcribes minutes of meetings, conferences, etc., as assigned. Ensures all correspondence is prepared in the correct format, free of errors, and is completed within established timelines.
Makes all arrangements for conferences and large, often high-level meetings, securing space, scheduling speakers or attendees, assembling needed materials, arranging for meals or refreshments, securing needed audiovisual support, etc. Performs these duties in an ever-changing and fluid environment.
Maintains a current calendar of events and meetings for the ACNS for MH&BM and the ACNS for CLCs. Independently schedules appointments and meetings based on knowledge of the ACNS's workload, work location, and current hierarchy of issues of importance. Reminds the ACNSs of scheduled appointments and briefs him/her on matters to be considered before the scheduled meeting. Prepares material for the ACNSs to bring to committee meetings and conferences.
Maintains a suspense file of due dates for external and internal actions/supsenses that are the responsibility for the ACNSs to complete and follows up to ensure proper and timely completion. Priority items are expedited and monitored through to completion.
Maintains current list of Nursing CLC and MH&BM memorandums (Directives/Policies) for review. Coordinates with the ACNSs and other Service Chiefs to update memorandums in accordance with established recurring timelines, ensuring updates or revisions are published accurately and timely.
Maintains and publishes to the Nursing SharePoint a current emergency call back plan for Waco Nursing and ensures unit callback plans are up to date and readily available. Accuracy and availability of this information is essential for needed call-back of employees for patient care, emergencies, disasters, etc.
Responsible for tracking current licensure for all licensed Waco Nursing staff. Coordinates between Human Resources credentialing/licensing staff and Nurse Managers/Supervisors to track staff that require licensure on a recurring basis from respective state licensing agencies.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Routinely composes non-technical correspondence; Prepares a wide of personal and executive correspondence, reports, and other documents; Performs primary timekeeping duties (Enters Tours of Duty, Hours worked, overtime, and compensatory time); Assists in preparing, consolidating, submitting, and maintaining time and attendance records in accordance with established procedures; Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets; Maintains supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: "The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds."
