The primary purpose of the position is to assist Clinical Support Service (CSS) leadership and perform a variety of assistant duties such as compiling, monitoring, maintaining, computing and/or verifying the accuracy of CSS leadership data pertaining to customer service functions, performance measures, compliance, All Employee Survey (AES), internal productivity and auditing activities.
Duties
Major duties include, but not limited to:
Participates in CSS workload performance Staffing/Workload studies and AES Studies.
Gathers data from a variety of sources, such as Interviews with CSS and other services staff and patients. Patient Advocacy Tracking System (PATS), AES results, Discharge Phone Calls, Inpatient concierge program , and focus groups.
Documents data and evaluates the relevance of Information collected to the performance measures.
Develops initial tentative conclusions, prepares study files or spreadsheet, and incorporates notes/information and appropriate data into the file/spreadsheet.
Enters and retrieves program data and customers' responses into automated or manual management information systems databases.
Retrieves data and generates a variety of reports. Determines adequacy of data and verifies course and appropriateness of data.
Reviews data for abnormalities and/or discrepancies.
Prepares reports, graphs, charts, and dashboards.
Identifies problems, questions, possible causes, and recommends procedures and/or methods modifications and changes to the supervisor or higher-level staff employees
Establishes, updates, and maintains office procedures and records of various types that may be needed to assist In the efficient operation of the service. Serves as liaison between supervisor and subordinated units.
Develops, establishes, and maintains office procedures to ensure effective and efficient operations regarding the administrative, clerical land procedural work of the unit. Relieves
Keeps the Chiefs calendar, schedules appointments, makes extensive travel arrangements and schedules· conferences without prior approval, and sees that he/she is fully briefed on the information as needed.
Schedules meetings that require networking with both clinical and administrative services throughout the CTVHCS and the community.
Keeps Chief informed of progress and/or impediments encountered.
Tracks suspense dates and notifies Chief of projected success or failure to meet them.
Serves as timekeeper for Clinical Support Service.
Demonstrates self-control, tact, ethical behavior In contacts with all visitors and hospital personnel and attempts in all contacts to develop a relationship of confidence and respect.
Takes timely initiative in resolving simple consumer problems expeditiously and by referring complex or un-resolvable problems to the patient representative or immediate supervisor with proposed alternative solutions.
Responsible for tracking and maintaining education requirements for the service. Processes training requests for the office and enters course work Into Tempo.
Provides technical advice and assistance to service personnel to help resolve difficult administrative problems relating to the office.
Reviews correspondence and reports for accuracy, appropriate format, completeness, compliance with existing policies, grammatical construction, spelling and punctuation.
Transcribes correspondence, reports, etc., which may Include technical terms and matters of a confidential nature for the Chief.
Screens incoming mail to identify what needs to be brought to the attention of the supervisor referred to appropriate staff, rerouted to other organizations/offices or handled personally.
Follows up with staff members to ensure various assignments made during conferences and meetings are completed timely.
Procures services, products, supplies and/or equipment as needed, using established contracts and/or agreements.
Orders, receives and signs for expendable and nonexpendable supplies and equipment.
Maintains fund Control Flies.
Compiles the CSS budget data and attends appropriate meetings. Monitors and reviews past and present program resource use and forecasted requirements.
Identifies CSS program trends, discrepancies, survey reports and problems on workload figures and customer service reports.
Determines the extend of deviation from established goals and objectives.
Conducts trend analysis, prepares report makes recommendations and forwards to appropriate staff member.
Assembles and/or develops background data, Information, and documentation to support the CSS annual budget request.
Monitors the use and rate of expenditures of budgeted funds.
Develops recommendations for budgetary adjustments to support unanticipated changes In program operations and/or funding.
Work Schedule: Monday-Friday; 8:00am - 4:30pm

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Assists resolving problems utilizing data analyses and administrative / clerical work of the office; Contributes to monitoring operating programs as they relate to automated data processing i.e. software training, technical assistance, and troubleshooting of equipment for staff; Collects, compiles, and analyzes data extracts for various reports; Enters pertinent information into an automated tracking system; Uses software applications to draw information to prepare/assist in preparation of reports; Prepares, executes, and/or tracks program (s) specific information which includes, but is not limited to, performance measures, suspense.
