This position is organizationally aligned to Pharmacy Service at the VA Illiana Health Care System, Danville, IL. Pharmacy Service is responsible for the provision of medications, and medication related services across all phases including outpatient, inpatient and clinical arenas. The primary purpose of this position is to provide administrative support to Pharmacy Service under the general supervision of the Administrative Officer and the Chief of Pharmacy.
Duties
Duties include, but may not be limited to the following:
Creates and completes time cards in VATAS; serves as timekeeper.
Collaborates, communicates and organizes the work in order to meet deadlines, ensuring compliance.
Identifies needs; gathers, organizes, and maintains information; determines its importance and accuracy, and communicates it by a variety of methods.
Maintains filing system and document control for the service.
Schedules appointments, coordinates meetings and/or conferences.
Provides general clerical services.
Attends assigned meetings and prepares agendas and meeting minutes.
Serves as the back up to the AO for PIV sponsor, key coordinator, EPAS requests, travel requests, and any other administrative duties.
Provides guidance and assists organization personnel in administration areas.
Serves as POC for work orders, TMS, tickets, and YOURIt tickets.
Maintains and orders supplies and equipment for service.
Work Schedule: Monday - Friday, various tours available (7:00am - 3:30pm, 7:30am - 4:00pm, 8:00am - 4:30pm, 8:30am-5:00pm)

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performs a variety of administrative and support type duties in such areas as administration, records and files management, travel, and reports; schedules appointments, coordinates meetings, and/or schedules conferences; enters, collects data, and runs various office reports; directs patients, visitors, and callers to appropriate staff member based on request; drives to achieve public and interpersonal relationships; utilizes medical terminology to effectively communicate with staff; serves as time keeper and ensures procedural compliance; maintains confidentiality of patient/employee information; utilizes the use of office equipment and computer applications; and composes, drafts, reviews, and edits correspondence

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work, however, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; escorting patients and visitors throughout the medical center; directing staff to meeting areas. No special physical demands are required to perform the work.
