This position is in the Spinal Cord Injury/ Disorder (SCI/D) Service at Edward Hines Jr., VA Hospital, and the primary purpose of this position is to provide administrative and programmatic support work along with associated fund control points to the General Post Fund, and Equipment Purchasing within the
Spinal Cord Service.
Duties
The primary purpose of this position is to provide administrative and programmatic support work along with associated fund control points to the General Post Fund, and Equipment Purchasing within the Spinal Cord Service. The employee identifies issues or problems and seeks alternative solutions consistent with applicable regulations. The employee is regarded as a subject matter expert and source of the complex processing of information regarding programmatic transactions and working with the medical team on clinical authorizations. The employee works independently in completing assignments and completed work is reviewed for conformance with policy and regulatory requirements, and for effectiveness in meeting goals. Supervision of this position is under the Administrative Officer and has functional accountabilities to the SCI Service Chief.
- Supports SCI/D patient services including but not limited to facilitating and communicating transportation needs through Patient Administration Service, and placing telephone calls to Veterans and/or their caregivers regarding upcoming admissions or other areas of patient coordination
for the SCI/D service.
- Assists in problem solving scheduling or logistical issues raised by patients and/or staff during supportive contacts.
- Responsible for assisting in the scheduling of SCI/D inter-disciplinary meetings including but not limited to room reservations, communicating team members' availability, and entering Microsoft Outlook meeting makers.
- Monitor, and update programmatic data through spreadsheets and enter timely updates for SCI/D services.
- Supports the SCI/D service public awareness and educational initiatives through coordinating outreach mailings to veterans, service organizations, and institutions, as indicated by service needs and program standards.
- Responsible for purchasing and requesting small and large equipment, supplies and services. Employee ensures compliance with all Federal, VHA and local policies, procedures and training requirements to ensure purchases and requests are timely, accurate and tracked.
- Maintains electronic and paper records of all purchases and equipment requests in compliance with VHA and local auditory requirements.
- Serves as a service liaison for internal and external customer service requests.
- Tracks and issues proximity (access) cards for both patients and staff, to access the secured building.
- Responsible for providing administrative support to SC/D Service activities including, but not limited to: entering work orders, equipment set-up, rotating timekeeping duties and making entries into the designated time and attendance system (VATAS), coordinating patient transportation, SCI/D
Coordination of Care, Performance Improvement, CARF, uSPEQ and admissions calls.
- Performs other related duties as assigned.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Possess professional skill sets, technological skill sets and a working knowledge of Standing Operating Procedures of Administrative and Clinical Support Services to support the requirements of the position. Possess oral and written communication skills and interpersonal skills, including the ability to appropriately and courteously relate to internal and external customers. Knowledge of administrative procedures for fully functioning in an office environment that uses Microsoft Office programs, Vista systems and office automation machines. Knowledge of medical facility terms and professional office workflow. Must be knowledgeable of VHA and local financial and logistical programs, databases, spreadsheets. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education as described.

Physical Requirements: Work takes place primarily in an office setting, but may require repetitive and extensive periods of standing, walking, bending, stooping, and sitting. Some light carrying of records and supplies may be necessary. Work is basically performed in an office setting where patients present with a wide variety of medical problems. The employee could be exposed to communicable diseases. Safety precautions are sometimes necessary. Position is not suitable for telework.
