This position is located at Edward Hines Jr. VA Hospital, Hines IL. (578) - a Level 1a Complexity VHA Facility and is organizationally aligned under a Chief Nurse reporting to Associate Director for Patient Care Services (ADPCS) and serves all Hines and Hines Community Based Outpatient Clinic (CBOC) employees, including paid and unpaid trainees. The primary purpose of the position is to provide administrative, collaborative, & programmatic level support to all services under the Chief Nurse.
Duties
The incumbent reports to the Chief of the service. Participates actively in the management of the office of the Section Chief Nurse by performing a wide range of administrative, analytical, and budgeting functions using office automation systems, which generate output of reports, database management, word processing, administrative forms, and organizing logistics for meetings and programs.
Designs, organizes and maintains data bases and filing systems.
Compiles and prepares weekly, monthly, quarterly and annual schedules and reports related to the operations of the Program(s).
Analyze existing or proposed internal reports to ensure procedures are followed.
Maintain master files of standard operating procedures & assigns the standard operating procedures number corresponding with the applicable regulation.
Responsible for the overall coordination of all computer information needs for current and on-boarding employees.
Prepare agendas, attends, and transcribes minutes for meetings.
Review proposed directives/policies to ensure proper arrangement, format, and consistency with existing directives, as well as their proper distribution.
Assist Nurse Recruiter by providing documentation needed for in-processing and orientation activities for all incoming staff (students, residents, and fellows).
Serve as purchase card holder.
Determine entries required and performs accounting and coding functions.
Administer patient satisfaction and other related surveys to patients in the assigned Program(s).
Other data collection practices as assigned by the Supervisor.
Design and implement methods and procedures which facilitate the completion of administrative responsibilities with a minimum expenditure of time.
Work Schedule: Monday - Friday 7:30am - 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/05/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of office administration and systems development in order to prioritize work assigned, track and direct the flow of inquiries, and provide information to customers in a timely manner; Working knowledge of the work processes and procedures of an administrative field (e.g., office administration, travel, agreements, human resources) in order to assist supervisor and program coordinators in achieving goals of the programs; Knowledge and skills to operate a variety of standard office and VA computer programs and databases to gather, analyze and display data utilizing templates, graphics and spreadsheets; Knowledge of budgeting, TDA requests and fiscal oversight of a complex atypical monetized social work program; Knowledge of correct grammar, spelling, punctuation and required format of VHA correspondence, reports, etc.
Office Automation (OA) Selective Factor:
Applicants for this position must show possession of the following skill: Ability to type 40 words per minute. This position requires Office Automation (OA). Candidates must have the ability to type a minimum of 40 words per minute.
Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects. Occasional travel is required to provide support at conferences, workgroups, programs, or meetings.
