This position is located at the Louis A. Johnson VA medical facility in the Health Professions Education (HPE) Office (HPEO) service and is organizationally aligned under the Associate Chief of Staff/Education, Designated Education Officer, who reports to the Chief of Staff. This position supports the DEO in establishing, maintaining, and evaluating the quality of health professions training programs and the quality of care delivered by health professions trainees at the VA medical facility.
Duties
Major duties and responsibilities will include:
Serves as the records management liaison responsible for the accountability, maintenance, and disposal of records
Tracks action items and notifies supervisor of impending suspense dates
Provides administrative support for employee travel requests
Maintains employee competency folders, tracking and submitting appraisals, proficiencies, and awards
Assists with the management of the Chief's calendar, resolving scheduling conflicts, rescheduling appointments, and printing documents needed for the day.
Generates, routes for approval/signature and tracks a variety of memorandums, letters, and other documents
Works in collaboration with leadership to operationalize quality assurance initiatives
Assists with developing, drafting, and updating support policies and procedures, ensuring all regulatory requirements are met
Provide sound analysis of training program compliance with such rules and regulations and independently manage deviations.
Provide administrative and management support.
Collect, analyze, and sort data.
Coordinate timely submission of data.
Serve as the primary communicator with various private/public institutions.
Prepare budget requests.
Assist in the recruitment of faculty.
Assist in training staff in record management.
Identify unscheduled records.
Assists with space and information technology (IT) matters, as well as, office supplies, and other logistical needs
Manages purchase card use, reconciling purchase cards, maintaining purchase card documentation
Performs timekeeping duties
Performs other related duties as required.
Work Schedule: Monday-Friday, 7:30am-4:00pm

Physical Requirements: The work is administrative in nature, primarily sedentary. Occasionally light physical effort may be required. As most of the time is spent using a computer, actions must be taken to prevent wrist, eye, and back injuries. Work is performed in an office setting and requires the use of numerous communication modalities (i.e., e-mail, instant messenger, video, online meetings, etc.). Occasional travel and tour of duty changes to meet logistical needs may be required.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/15/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: All applicants must possess at least one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, experience must have been equivalent the next lower grade level (GS-5) in the Federal service. Specialized experience includes: performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
You will be rated on the following Competencies for this position:
Clerical - Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms.
Administration and Management - Knowledge of planning, coordination, and execution of business functions, resource allocation, and production.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: No special physical qualifications are required to perform the work. The work requires the ability to move around the office and carry light items, sit for long periods of time and concentration on figures. It is necessary for the incumbent to travel between various buildings on the site as well as drive vehicles to and from maintenance appointment.
