This position is located at the Louis A Johnson VA Medical Center (LAJVAMC), Department of Veterans Affairs in the Residential Rehabilitation Treatment Programs (RRTP) within the LAJVAMC Social Work Service. This position provides specialized analytical support to staff working and for veterans attending multiple LAJVAMC residential programs. The incumbent supports the MH RRTP Program Manager and staff administratively in the day-to-day operations of the program.
Duties
Program Administrative Support:
Expertly coordinates and ensures completion of extensive RRTP project deliverables with demanding timelines and inter-related parts while providing attentive managerial support for daily RRTP operations.
Serves as a centralized liaison between the RRTP management and staff, multiple high-level VA staff at the hospital, VISN, and VACO levels, and many VA service departments as well as community agencies.
Determine routine actions or issues requiring Manager's attention and refers the items to the appropriate staff members based on the subject matter experience required.
Collates and organizes various clinical provider support documents, including lengthy and complicated program handbooks for Veterans, extensive clinical provider resource electronic and paper files, and paper homework sheets provided by clinicians.
Provides direct assistance in the development and ongoing compliance with unit-wide policy formulation and monitoring RRTP adherence to all unit, Social Work, Behavioral Health, and LAJVAMC policies, including direct input into unit and policy formulation.
Provides independently assessed ideas for corrective actions as needed.
Performs primary time keeping functions for all RRTP staff and related duties using a combination of Excel spreadsheets, Acu-Staffing, and the VA Time and Attendance System (VATAS) sources.
Ensures time and attendance deadlines are met, checking, and inputting daily as to duty time and appropriate leave, obtaining certifications as necessary and answering complex question on leave regulations and policy.
Responsible for organizing meetings, to include obtaining space, maintaining the calendar for meeting and conference schedules for the program coordinator and staff and using initiative to establish meeting priorities, taking minutes, maintaining records of the minutes, and other related duties.
Assists the Behavioral Health & Social Work Administrative Officer with HR duties for hiring of new staff. This includes ePAS, PIV card requests, and other onboarding actions.
Receives visitors and telephone calls in a professional and confidential manner.
Monitors and controls business papers, correspondence and records including the coordination of action papers with office staff.
Helps with recruitment by coordinating selection panels, making appointments, preparing materials for interviews, organizing, and retaining interview questions and rating girds and by maintaining files.
Obtains and monitors the use of services, supplies, or equipment for the office.
Provides general office supply and equipment support services such as obtaining standard office supplies and services, procuring, or justifying the full range of office services or answering questions concerning policies and procedures related to support/office services.
Data Reporting/Analysis:
Enters, updates, and maintains daily records for patient self-evaluations, including analyzing data over time and reporting trends within individuals and larger groups of Veteran residents. Independently generates ongoing and Ad-Hoc reports, memos, spreadsheets, graphs and dynamic presentations for Residential Program Manager and Nurse Manager.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in an administrative support role as a Program Support Assistant, Administrative assistant, secretary or typical admin support role in an office, or hospital setting providing administrative support to individuals in leadership positions. Comprehensive experience with various administrative/clerical tasks on a periodic and/or routine basis such as but not limited to: Writing correspondences, memos, report gathering, records management, data entry and Time keeping etc. Skill in oral and written communication. Extensive and thorough experience with Microsoft Office tools such as Word, Outlook and PowerPoint and other administrative Computer base programs and applications. Experience in in providing Customer Service to a multitude of individuals regarding complex and general inquiries that include, Clinical staff, Patients, and other stakeholders. Skill in performing routine tasks independently with little to no supervision. Experience gathering information for various reports, preparing reports for leadership. Knowledge and experience with a range of federal, human resources and personnel support policies, procedures, and computer applications to initiate and track requests, access recruiting documents, maintain and track files, and advise service line staff of various processes and procedures. Knowledge of the processes and procedures involved in requesting and maintaining office supplies and equipment.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
