This position serves as the Program Support Assistant to the Chief, Facilities Management Service. Incumbent performs a wide variety of administrative duties in support of the Facilities Management Service and its mission.
Duties
Major duties include, but are not limited to:
Maintains a calendar of appointments, meetings, conferences, and deadlines for the Service Chief.
Timely communicates suspense items and maintains a suspense file of due dates for assignments and follows up to ensure that all suspense's are accomplished on or before the due date.
Utilizes an electronic time and attendance computer program to perform timekeeping duties for all employees.
Determines whether correspondence should be brought to the service Chief, referred to other staff, or handled personally.
Communicates effectively with customers, staff and management.
Handles conflict and problems in dealing with customers, constructively and appropriately.
Types a variety of documents into final form, ensuring correct grammar, spelling, punctuation, format and style.
Performs office automation work on personal computer utilizing multiple programs to complete documentation.
Utilizes a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence.
Receives and reviews all incoming correspondence.
Coordinates meetings and prepares meeting minutes.
Maintains office supplies and equipment.

Qualifications
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Applicants must have one (1) full year of specialized experience related to this position. This experience must have been equivalent to at least the GS-6 grade level in the Federal Service.
Specialized experience: Examples of specialized experience would typically include, but are not limited to: administrative and clerical support, experience identifying and addressing administrative issues independently, data management, experience utilizing Office Automation tools, maintaining a database system, experience compiling and using automated data processing equipment to generate a variety of reports.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
