This position is located in the Support Services Division (SSD) of the RO, where the incumbent provides program, technical and administrative assistance to the SSD Chief and other subordinate management within the division.
Duties
The incumbent participates actively in the management of the Office of the Chief, Support Services Division (SSD) by performing administrative and technical support duties. Based on a good working knowledge of the organization and the programs under the Program Support Assistant's control, incumbent resolves problems associated with the administrative and technical work of the office. The incumbent will be responsible for:
1. Prepares, assembles, and correlates information in connection with surveys and one-time reports required by Central Office, the Area Office, the Regional Office (RO), or Division management regarding administrative support functions from other divisions and outside sources of data.
2. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
3. Assists division management in evaluating, monitoring, and assessing workflow management.
4. Assists audit and/or review teams and division personnel by compiling and providing statistical data as required regarding administrative programs.
5. Primary responsibility for coordinating the scheduling of facility space within the RO - this may include individual offices for visiting dignitaries, the training rooms for the RO, hearing rooms at the RO, etc. Must also ensure the physical set-up of these spaces - to include computer equipment, audio-visual equipment, teleconferencing equipment, video conferencing equipment, video recording equipment, and satellite video feeds are available when needed and necessary.
6. Serves as the interface between the Administrative Section and customers within the RO regarding equipment inventory information.
7. Assists with formulating financial requirements for all areas of responsibility.
8. Maintains the official station control log/history file for circulars, bulletins, and memoranda and assigns numbers and dates and recession/retention folders on these as required.
9. Responsible for establishing and maintaining files and records for the division.
10. Performs office automation duties using software applications such as electronic mail, calendar, word processing, spreadsheets, and automated time and attendance applications.
11. Creates and manipulates text material into presentation documents for Chief and subordinate supervisors.
12. As purchase card holder, secures purchase card at all times, identifies correct accounting string or budget object codes (BOCs) for appropriate transactions as required with VA's credit card system.
13. Serves as the alternate Transit Benefit Manager. Reviews, submits applications, and provides policy information to employees requesting or receiving transit benefits.
14. Serves as the principal timekeeper for SSD and may support other division timekeeper needs by serving as an alternate timekeeper.
15. Received all SSD visitors and callers. Screens telephone calls for the SSD Chief and forwards only those calls requiring the Division Chief's attention.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/28/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: Applicants must have at least one year of specialized experience equivalent to the GS-05 grade level in the Federal Service.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary, however, there may be some physical effort such as standing, walking, bending, and/or carrying of light items such as files, books, and supplies. The work requires no special physical demand.
The work is performed in an office setting requiring normal safety precautions against everyday risks or discomforts.
