This medical center has 15 PACT teams between main facility and 8 Community Based Outpatient Clinics located in Casper, Riverton, Cody, Gillette, Afton, Worland, Evanston and Rock Springs, Wyoming. The Primary Care Program Assistant provides administrative and technical support to the Chief of Primary Care, Nurse Managers, and Primary Care team members.
Duties
Major Duties include but not limited to:
Performs a wide variety of administrative tasks associated with maintaining and supporting the work for Sheridan and the CBOC's in the Primary Care Service Line.
screening requests for information, personally providing authorized information from files and records or advice on established procedures.
effectively interacting with staff, top management officials, Veterans, and family members
establishing program priorities for the successful completion of projects and expedition of correspondence within established policies and procedures.
Ensures all basic office supplies and equipment are ordered through appropriate fund control points outside of Primary Care.
Established various filing systems, index, retrieval and follow through systems for inpatient quality data.
Assists leadership in preparing and maintaining statistical records regarding position vacancies, staff training, and Licensure expirations.
Prepares and duplicates a variety of handouts for staff meetings, conferences, and end of year reports.
Assist supervisors along with HR, to support hiring manager to gather, input, and track the necessary documents for MSS/other self-service system requests/inputs.
Work Schedule: Monday-Friday 07:30am-16:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/07/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Comprehensive knowledge and understanding gained through education, training, and experience of the principles, concepts, theories, practices, and methodologies of administrative/office management and skill in applying this knowledge in carrying out difficult assignments for leadership; Knowledge of the duties, priorities, commitments, policies, and program goals of Primary Care and other service lines to perform nonroutine assignments such as locating and summarizing information for files and documents as required for submission of board actions, management of RMC approvals, educating managers on the various programs and processes; Skill in advising managers and employees on such matters as the application of various procedures and reporting requirements to the service; Knowledge of VA manuals and regulations, Medical Center memorandums, nursing policies and procedures as they relate to the clerical and administrative functions Primary Care within the medical facility; Knowledge and ability to use the medical center VISTA system, specifically the Nursing Administrative and Applicant tracking menus; Knowledge of forms and procedures for requesting recruitment supplies, equipment repairs and printing services.

Physical Requirements: The work is generally sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
