The Incumbent serves as the Administrative Support Assistant to the Caregiver Support Program of the Social Work service at Sheridan VA Medical Center and satellites. The position is under the supervision of the Program Manager. Provides administrative support to the Caregiver/Veteran, VA-approved Providers, and staff. The position requires communication skills, experience with computers, and ability to work with others, particularly veteran populations within a medical/psychiatric environment.
Duties
Major duties include, but are not limited to:
Provides a complete range of program support including customer service and coordination, data analysis and graphing, special Caregiver Support Program projects, Caregiver Support Events, performance measures, reports and compilations of data from the program-related computer system, VA, and Veterans Integrated Service Network (VISN) 19 to meet the goals and program guidelines.
Applies basic analytical methods to interpret data and recognize errors and deviations.
Aids the Program coordinator in accomplishing tasks by utilizing extensive knowledge and understanding of the organization, regulations, methods, and the other tools or resources of management.
Serves as the point of contact for the Caregiver Program in absence of the Program Coordinator.
Provides vital administrative program information to the Caregiver/Veteran, VA approved Providers, and VA Staff.
Assists in the establishment of Veterans and Caregivers in the Program and coordinates services.
Prepares, modifies, and issues all authorizations of care for approved service.
Performs timekeeping.
Relied upon by the Caregiver Support Team to utilize extensive communication with the Veteran/Caregiver enrolled in the program.
Works productively and collaboratively with VA Eligibility, Travel, fiscal services, Integrated Care Services, and other departments throughout the medical center facilities.
Manages the Caregiver Support Program Fund Control Points.
Develops and maintains financial spreadsheets.
Schedules resource training.
Assists in tracking internal reviews, action items, quality measures, and the efficiency of the Caregiver Support Program.
Assists in preparation of all program reports.
Maintains the Caregiver Support Program database.
Ensures the Caregiver Support Program operates efficiently and successfully.
Supports operations within other services, as needed, for timekeeping, committee assignments, and special projects.
Makes recommendations regarding needs and distribution of resources.
Manages competing priorities and other administrative duties at the discretion of the Caregiver Support Program Coordinators.
Work Schedule: Monday thru Friday, 7:30 am to 4:00 pm, or as approved by supervisor
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Pending 90-day evaluation and approval by Supervisor, this position may be eligible for a # days per pay period for telework.

Qualifications

GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: performing applicant processing tasks, including documenting in electronic health record system, communicating with applicants in writing and verbally, and conducting initial applicant contact; tracking and managing data by inputting data accurately and in a timely manner into computer systems, such as electronic mail, word processing, spreadsheet, presentation, and database software; managing program phone line through answering calls and inquiries, providing accurate information, knowledge, and customer service, directing calls to the appropriate services and providing direction to internal resources while utilizing program knowledge; planning work tasks effectively to set priorities, to coordinate activities, to communicate with a variety of individuals with tact and diplomacy, to present a positive image of the organization and its mission; performing clerical and administrative support tasks. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment on their resume.
Preferred experience: previous work experience utilizing excellent telephone skills, working with a variety of individuals, including veterans within a medical/psychiatric environment, completing duties within medical center computer systems, and updating data.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Education
There is no educational substitution for the GS-07 level.
