The incumbent in this position serves as the Program Assistant to Mental Health & Behavior Science Service (MH&BSS) and provides administrative and operational support for the other professional staff of the MH&BSS Service. Principal duties and responsibilities cover a wide variety of secretarial and administrative functions to facilitate providing clinical care oversight through inpatient and outpatient care.
Duties
This individual will be required to be responsible for administrative services related to the health care within the service and the Medical Center. Duties include but are not limited to:
Ensures all objectives and deadlines are met.
Performs assigned duties in a manner that promotes quality health care, outstanding customer service and the maintenance of an environment committed to serving the Veteran.
Assists with updating and filing of manual changes, regulations, official publications, as well as maintaining administrative files for the department in accordance with VA guidelines.
Responsible for compiling, preparing and timely submittal of reports.
Will act as a TMS Administrator for the Service to prepare learning histories, update supervisors, change passwords, assist staff with access to training, run reports of mandatory training compliance, contact staff to complete training, enter outside learning as requested.
Serves as a resource person to MH&BSS Service personnel instructing them on expenditures, available funds, and correlating information pertaining to MH&BSS Service's and resources and funding.
Cost analysis of expenditures by each of the sections of the MH&BSS Service's overall budget will be performed at least quarterly.
Purchase card holder for the service.
Collects and maintains provider profiling data including various workload and procedure reports.
Assists in generating, usually in written form, a wide range of key and critical data as required by the Medical Center Director, Fiscal Service, Education Service, HIMS, Logistics Service, Contracting, Quality Management, and others, including clinic utilization and clinical operations data for the Director's Morning Report.
Work Schedule: Monday-Friday 8:00 AM-4:30 PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/17/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Answers calls from internal and External customers.
Uses a computer to create spreadsheets.
Creates and maintains various program and computerized records.
Greet internal and external customers, directs to appropriate staff for resolution.
Enters and follows up on work orders.

Physical Requirements: The work is primarily sedentary however, involves walking and lifting of office equipment and supplies.
