The Program Assistant works for the Community Care Program within Social Work Service at the West Palm Beach (WPB) VA Healthcare System (HCS). Incumbent serves as a resource person responsible for providing variety of applicable administrative functions, activities, operations, and programs as delegated by Community Care Program and the Social Work Service.
Duties
Duties include but are not limited to:
Resource & data collection;
Analyzes, extracts, summaries & identifies significant trends and issues;
Receiving, tracking & analyzing referrals & billing;
Conducts management surveys, audits, and special projects;
Prepares standard operating procedures, internal instructions, reports and guidelines;
Triage & Routing incoming calls and visits;
Update medical records;
Maintaining spreadsheets, tracking data and creating charts/tables;
Assists in the development, implementation, evaluation, interpretation, revision and necessary corrective action of all applicable administrative duties;
Compiling information and submitting VA Forms 10-7078 and VA Form 1358.
Work Schedule: Monday - Friday 7:30am to 4:00pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/17/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to:
Tracking, reviewing, and processing invoices for services.
Receiving, tracking and analyzing referrals for Community Care Network (CCN), Community Nursing Home (CNH) and Community Adult Day Care (CADHC).
Overseeing access to care administratively and referral for treatment services and case management services for Veterans.
Preparing and issues authorization and or extensions of approved care for the community programs.
Scheduling, creating agendas and taking minutes for conference calls and section/service meetings.

Physical Requirements: Some walking, standing and carrying items such as books, papers and computer reports are also required. Some occasional travel may be required.
