This position will be assigned under Quality and Patient Safety Service (Q&PS) at the Northern Arizona VA Healthcare System (NAVAHCS), in Prescott, Arizona. The person in this position serves as a Program Support Assistant, providing a wide variety of administrative, clerical, and technical support.
Duties
The primary purpose of the Q&PS Program Support Assistant (PSA) is to provide program and data management support to a variety of Quality and Patient Safety Service Line functions. These functions include Utilization Management, Risk Management, Performance Measures, Infection Control, Patient Safety, Peer Review and others as assigned. The PSA is a key component in data integration that administratively supports quality initiatives and risk management throughout the Medical Center. The incumber works under the supervision of the Quality and Patient Safety Service Line Manager / Chief. The incumber provides office management, program, administrative, secretarial, and clerical support in the Q&PS Service Line.
Major duties include but are not limited to:
Runs reports for hand hygiene audits and compliance.
Sends emails to all applicable Service Line Managers to ensure compliance to the number of required hand hygiene audits.
Tracks data and program compliance under the direction of the Infection Control Practitioner.
Reaches out to other service lines for updates.
Creates weekly certificates, schedules presentations with Executive Leadership, submits paperwork to HR for individual awards.
Primary timekeeper for service line.
Makes calls as needed to obtain information for audits and tracers during surveyors' visits.
Organizes digital forms received from the inspectors.
Creates PowerPoint presentations as requested for Q&PS staff.
Assists with controlled substance inspector recruitment and documentation (appointment letters, incentive reward letters, etc.).
Scans memos and minutes and attachments for various Committees and workgroups ensuring that they are titled correctly.
Assists in preparing folders for committee members for monthly Council and Committee meetings.
Assists with Peer Review Committee meeting messages and chats during meeting.
Routes memos and minutes to and from ELT in a timely manner.
Updates agendas and sends out reminders and finalizes minutes for Q&PS staff. .
Work Schedule: Monday through Friday; 7:30 a.m. to 4:00 p.m.

Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/20/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must possess at least one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, experience must have been equivalent the next lower grade level (GS-5) in the Federal service. Specialized experience includes: performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
Preferred Experience: Customer Service, Business office machines, typing skills, Computer literate, familiar with SharePoint editing, scheduling in Outlook. Must be familiar with Adobe Pro and Microsoft Office suite: Word, Excel, Publisher

Physical Requirements: The work area is usually an adequately lighted, heated and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.
