The incumbent provides administrative support to a clinical leader and Administrative Officer under the Office of the Chief of Medical Service. The work consists of duties utilizing administrative and technical skills, and positive communication skills with internal and external customers. She/he will perform secretarial, clerical and administrative duties. This position is under the direct supervision of the Administrative Officer.
Duties
Duties include, but are not limited to:
Responsible for receipt and distribution of all mail and correspondence for the office ensuring items requiring follow up or actions are appropriately suspensed and presented for completion.
Performs a variety of administrative duties including, typing, copying, faxing, filing and other tasks associated with maintaining and supporting the work performed by the Office of the Chief of Medical Service.
Serves as the primary timekeeper for the office and as a backup/alternate for services as designated.
Serves as the liaison to schedule meetings, obtain conference rooms, arrange for, monitor, and secure equipment, teleconference lines, videoconference equipment, services, and products and copies as needed.
Monitors and controls business papers, correspondence, and records, including the coordination of minutes, action items, and documents needed by the office.
Receives, assigns, and monitors externally and internally generated correspondence and inquiries.
Monitors the progress of management's reports, notes, memoranda, data, etc., to ensure their satisfactory and timely conclusion by preparing documents and/or supporting these functions for the office.
Obtains and monitors the use of services, supplies, and equipment.
Performs other duties as assigned.
Work Schedule: 7:30am-4:00pm Monday through Friday
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: 1) Sets well defined and realistic personal goals; displays a high level of initiative, effort, and commitment towards completing assignments in a timely manner; works with minimal supervision; is motivated to achieve; demonstrates responsible behavior. 2) Organizes work, sets priorities, and determines resource requirements; determines short- or long-term goals and strategies to achieve them; coordinates with other organizations or parts of the organization to accomplish goals; monitors progress and evaluates outcomes. 3) Uses computers, software applications (e.g. VistA, VATAS, MS Word, MS Excel, MS Outlook, MS Teams), databases, and automated systems to accomplish work. 4) Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms. 5) Identifies and analyzes problems; uses sound reasoning to arrive at conclusions; finds alternative solutions to complex problems; distinguishes between relevant and irrelevant information to make logical judgments.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The purpose is sedentary. Typically, the employee sits comfortably to do the work.
However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
