Serves as the Secretary to the Associate Chief of Staff for Education and Designated Learning Officer (DLO) at the James A. Haley Veterans' Hospital, Tampa, Florida; responsible for the organization and daily operation of the administration functions for the Associate Chief of Staff for Education and the Hospital Education Office.

Duties

Duties include but are not limited to: First point of contact for hospital staff members at all levels, staff members of other VA facilities, and other Federal agencies, and members of the general public. Exhibits a high degree of tact, diplomacy, and courtesy in these interpersonal dealings. Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Provides general clerical mail and correspondence services, such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information. Maintains ACOS/E filing and record system relating to VA and OPM publications, manuals, assuring that publications are correctly filed, cross-references and periodic changes are posted as they occur. Provides general calendar services, such as maintaining calendars in Outlook SharePoint as well as recording appointments or arranging for meeting and conference administrative details. Provides oversight for Meeting Room calendars and authorizes final approval for meeting space. Performs logistical support work necessary to ensure the effective operation of training program activities. Runs reports for post-course evaluations evaluations; sends out notifications for course attendance, completions, and no-shows to learners and supervisors. Justifies and requests replacements for outdated equipment by identifying the outdated equipment, gathering relevant information on office equipment, or requesting office equipment for own work area. Work Schedule: Monday through Friday; 7:30AM to 4:00PM Telework: Adhoc. VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one (1) year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public; processes all incoming and outgoing materials such as correspondence, reports, memoranda, publications, regulations, directives, and other forms of written communication, and determines which items should be brought to the attention of a supervisor; schedules appointments, coordinates meetings, and/or schedules conferences which may include assembling background material or preparing packets for attendees; coordinates logistical support for local and regional training programs; obtains and monitors the use of services, supplies, or equipment for the office. Typing Requirement: This position requires a typing requirement of 40 words per minute. You will be rated on the following Competencies for this position: Administration and ManagementClericalCommunicationsComputer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. The employee may sit comfortably to do the work. However, there may be some ongoing use of the hands when keyboarding, walking, standing, bending, and carrying of items like papers, books, or boxes of supplies and training materials. No special physical demands are required to perform the work.
