The Program Assistant is responsible for generating data and reports to monitor select clinical operations, completion of all space and equipment requests, purchasing and inventory of all the Service's supplies, completing all the Service's On-going Professional Practice Evaluations (OPPE's) and Focused Professional Practice Evaluations (FPPE's), and functions as the Service's Automated Data Processing Application Coordinator.
Duties
Performs time keeping.
Answers calls from internal and external customers.
Enters Veterans and Caregivers into Database.
Creates and edits authorizations of approved care for service.
Processes invoices for care.
Uses a computer to create spreadsheets.
Makes process improvement recommendations.
Creates and maintains various computerized records and database's.
Maintains program records.
Manages a purchase card.
In-process and out-process employees into Service.
Sorts and distributes mail.
Orders program materials.
Enters workload.
Directs internal and external customers to appropriate staff.
Drafts Memorandum for Records, Standard Operating Procedures, MCPs.
Maintains appointment calendar and/or conference schedule.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Full performance level is GS-07.
Work Schedule: MONDAY through FRIDAY, 8:00AM to 4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Typing Proficiency Requirement: 40 words per minute (Typing) is required. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing work involving the collection, compilation, and/or tracking of data and statistical information; assisting in the development of program information and resource materials; maintaining written records, reports, publications and establishes administrative controls; maintaining an orderly and adequate level of program supplies; resolving administrative problems, Veterans complaints and professional inquiries; preparing various reports and presents this information to appropriate committee/team; understanding Mental Health Services processes and operations.

Physical Requirements: This work involves some walking, standing, bending, and carrying of some light items. The work requires the incumbent to be able to move comfortably around the office and when necessary other locations. The work involves a considerable amount of time gathering and recording data.
