This position is located at the VA Southern Oregon Rehabilitation Center in White City, OR. The Administrative Support Assistant (OA) performs administrative activities in support of Facility Management Services (FMS), Occupational/Safety department, and the Green Environment Management Systems (GEMs).
Duties
Major Duties:
Retrieve data on computer from a variety of resource services
Answers inquiries for information, which may require research
Maintain system of records
Working knowledge of Microsoft databases and complex excel spreadsheets
Prepares and type information
Trends results using the database
Evaluate the existing database and refine reports, charts and overall processes
Monitor and report the completion of pre-inspections
Answer inquiries for information
Maintain a system of records
Verifies that all inspection results are completed and documented appropriately
Notifies services of actions required that are not completed
Work Schedule: 8:00 am - 4:30 pm, Monday to Friday

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 11/08/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements within 30 days of the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Read and retrieve floor plans;
Create, monitor, and complete work orders;
Compose, agendas, meeting minutes, and compile reports;
Coordinate program activities such as tracking screening tests;
Obtain documentation for testing, and scheduling appointments for testing;
Receives and directs visitors;
Communicate office functions and requirements;
Monitor and report time and attendance;
Working knowledge of Microsoft Office programs, electronic filing, and timekeeping; and
Provide administrative and programmatic support such as process correspondence and independent research from multiple sources.
Proficiency Requirement: In addition to meeting Qualifying Experience the following is required: Ability to type 40 words per minute typing speed. Applicants may meet this requirement by presenting a certificate of proficiency from a school or other organization authorized to issue such certificates or by self-certifying their proficiency.

Physical Requirements: Normally work is sedentary in nature. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, such as papers, books, or small parts, step ladders or on occasion may operate a motorized cart. On infrequent occasions work may require specific, but common, physical characteristics and abilities, such as above average agility and dexterity.
