This position acts as the Executive Assistant to the Director at the William S. Middleton Memorial Veterans Hospital in Madison, WI.
Duties
***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION***
This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-11. At the GS-09 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-11. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
Duties may include, but are not limited to the following:
Performs administrative work and serves as a liaison for the director's office.
Manages schedules, makes appointment and coordinates meetings on behalf of the Director.
Serves as office manager for the director's office.
Analyzes and evaluates procedures.
Identifies and implements more efficient procedures to keep productivity at a high level.
Assigns, follows-up and tracks action items as a part of the facility's internal controls program.
Establishes and maintains liaison with persons in offices and other groups.
Reviews and analyzes reports submitted by various services for format, adequacy, accuracy and responsiveness to requests.
Serves as the facility expert on all correspondence, including format and proof-reading.
Provides technical training on VA administrative policies and procedures to hospital staff.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

TO QUALIFY FOR THIS POSITION AT THE GS-09 LEVEL YOU MUST MEET THE FOLLOWING CRITERIA:
SPECIALIZED EXPERIENCE: Have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-7) in Federal Service that has equipped me with the knowledge, skills, and abilities necessary to perform the duties of an Executive Assistant, GS-9. Qualifying specialized experience includes performing administrative and clerical duties; managing schedules, making appointments and coordinating meetings; gathering data and preparing responses to requests; assigning and tracking action items; and creating and reviewing reports. -OR-
EDUCATION: Have successfully completed a master's degree or two (2) full years of graduate level education leading to such a degree that demonstrates your ability to perform the duties of this position. NOTE: Transcripts must be submitted with application. Education cannot be credited without documentation. -OR-
COMBINATION: Have equivalent combinations of successfully completed progressively higher-level graduate education (beyond the first year) and specialized experience, as described above, which meet the total experience requirements for this grade level. TO QUALIFY FOR THIS POSITION AT THE GS-11 LEVEL YOU MUST MEET THE FOLLOWING CRITERIA:
SPECIALIZED EXPERIENCE: Have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-9) in Federal Service that has equipped me with the knowledge, skills, and abilities necessary to perform the duties of an Executive Assistant, GS-11. Qualifying specialized experience includes performing administrative and clerical duties; managing schedules, making appointments and coordinating meetings; gathering data and preparing responses to requests; assigning and tracking action items; providing training and implementing policies and procedures; reviewing and analyzing reports; and reviewing all documents to assure proper format, grammar, completeness and inclusion of attachments/back-up materials. -OR-
EDUCATION: Have successfully completed three (3) full years of progressively higher level graduate education or doctoral degree (Ph.D. or equivalent). This education must have been obtained at an accredited college or university. NOTE: If you select this option, you must submit a copy of your transcript with your application. COMBINATION: Have equivalent combinations of successfully completed progressively higher level graduate education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. The education portion must include graduate courses that demonstrate the knowledge, skills, and abilities necessary to do the work of this position. IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Work is typically performed in an adequately lighted and climate-controlled office. May require occasional travel.
