This position is for an Administrative Support Assistant in the Patient Care Services at the Carl Vinson VA Medical Center. The primary function is to provide day-to-day support to overall operations of Patient Care Services.
Duties
Major duties and responsibilities of this position include, but are not limited to, the following:
Schedule and review work activities performed in an office, including reporting and record keeping.
Review and direct incoming documentation/inquiries and take personal action when applicable or direct to appropriate staff as needed.
Maintain files and reports and reviews reports and correspondence prepared to ensure conformance with regulations, grammar, format, policies, and procedures.
Maintain calendar and schedules travel appointments and meetings for manager based on knowledge of workload.
Perform transcription from recordings and/or handwritten forms for meeting minutes.
Receive incoming calls from patients, clients, staff, and others in need of information.
Execute and prepare responses to routine correspondence and reports pertaining to the office for submission to the Associate Director for Patient Care Services signature with grammatical accuracy and clarity of expression.
Assembles and makes arrangements for conferences and/or meetings to include the preparation of the agenda.
Perform office automation work on personal computer utilizing multiple programs to complete documentation.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday to Friday, 08:00 AM to 04:30 PM.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
GS-06:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative assistance and program resources and support such as preparing correspondence, memorandums, forms and documents using various office equipment and computer software. Gathering market research and conducting surveys and reports to better assist customer needs. Working with appliance manufacturers and dealers to provide office inventory and informing management of possible purchases. Assisting with the coordination and planning of various projects and programs.
GS-07:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing Administrative Assistance, Data Collection & Tracking and Program Resources & Support. Entering and tracking timekeeping for an office; using an office filing system; assisting in orientation and training new staff on administrative items and various software used in the office; preparing a variety of documentation such as letters, memorandums, and other written communication related to employee pay, travel, meetings, etc., submitting for review before finalizing; entering collected data, preparing reports for review and making recommendations for change; assisting with maintaining office supply inventory to include ordering and budgeting for such purchases.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work requires up to 30-minute periods of intermittent sitting, standing, walking, filing, data terminal work, answering frequent telephone calls, typing and concentration. Walking to various offices, shops, labs, clinics etc. in different buildings and visiting other services shall occur routinely for generally no more than 30-minute periods of time. In addition to pulling, pushing, lifting, stacking, reaching and carrying capabilities are required for program coordination.
