This Program Support Assistant position is in Research Service at the Providence VA Medical Center. This position is a full-time position at 40 hours per week.

Duties

The primary duties of the Program Support Assistant include but are not limited to: Provides all staff support to the Research and Development Committee (R&DC) and it's subcommittees (Subcommittee on Research Safety and Institutional Review Board). Provides general administrative support to the Research Office, including support for the Associate Chief of Staff for Research (ACOS/R), and the Administrative Officer for Research (AO/R). Manages and implements all requirements for data inventory and storage according to the Record Control Schedule for Research. Serves as the initial point of contact for investigators on the requirements for proposal submissions and guidance on completing mandatory forms and supporting documents. Evaluates all submissions administratively on predetermined criteria regarding completeness and compliance with instructions and regulations, arranging for and processing the timely review of proposals by primary reviewers, the R&DC and subcommittees. Prepares drafts of the minutes of committee meetings from notes and recorded tapes and processes them for appropriate review and approval. Prepares and distributes notification letters to principal investigators regarding committee actions, prepares other committee correspondence as required, maintains all R&DC records and files, and processes all new or revised written committee policies and procedures. Assists Investigators with preparation of material for grant applications for Research funding to include transcription, editing and other administrative assistance. Administrative duties may include research credentialing and onboarding, Government Purchase Card, timekeeping, ADPAC, logistical support and regulatory submissions. This work requires the extensive use of computers and a variety of software products, including Windows, Outlook, Explorer, Word, Excel, Access, Vista, lnfoPath, SharePoint and others as needed, and the use of other equipment commonly found in the office environment such as printers, copiers, scanners, etc. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Work Schedule: Monday - Friday 8am - 4:30pm Virtual: This is not a virtual position. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/13/2023. You may qualify based on your experience as described below: Specialized Experience (GS-06): You must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of standard office procedure; knowledge in the use of personal computers and various software packages and operating standard office equipment such as computers, printers, copiers, fax machines and scanners. Specialized Experience (GS-07): You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Practical knowledge of standard office procedure; comprehensive knowledge in the use of personal computers and various software packages: specifically, Windows, Word, Excel, Access, lnfoPath, SharePoint, and VISTA, and skill in keyboarding and operating standard office equipment such as computers, printers, copiers, fax machines and scanners. You will be rated on the following Competencies for this position: Analytical ReasoningCommunicationComplianceManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work, however, there may be some walking, standing, bending, carrying of light items such as papers, books, etc. No special physical demands are required to perform the work.
